The Facilities Administrator, Lead provides administrative assistance and support in a staff capacity to the Facilities team. Supports day-to-day Facilities operations in Fairfax and Chantilly offices, with some remote support to other locales. This will include local oversight of Fairfax front desk staff, hands-on meeting support, office supply management, management of office hoteling operations, office supply inventory management, and other ad hoc activities. This is a part-time position located, primarily, in the Fairfax and Chantilly offices.  

Responsibilities

The Facilities Administrator will lead the day-to-day operations of GovCIO’s Fairfax and Chantilly offices. They will lead and manage the daily operations of the offices, support the executive suite and ensure a clean, safe and effective hoteling office environment. This includes, but is not limited to:

Direct supervision of the Fairfax front desk staff to include assignment of work, schedule management, providing guidance using established IT, Security and other policies and procedures.Identify opportunities to streamline/change processes for office operations. Write and maintain process and procedure documents.Oversight of office hoteling workspaces. Ensuring clean, safe and effective work areas. This may include cleaning and organizing workspaces following employee usage, communication to users, and assigning long term space usage. Onboarding / offboarding activities related to assigned personnel’s workspaces, including updating seating maps.Manage the assignment and preparation of office conference rooms to ensure readiness for meetings. Collaborate with meeting requesters to ensure their understanding of usage requirements. Ensure meeting rooms are properly cleaned post-meeting by users, with some limited personal cleanup, as needed. Coordinate with building cleaning services for heavier cleaning needs.Perform hiring duties for any changes to front desk staffing, to include reviewing candidates, scheduling interviews with Facilities management, providing feedback and onboarding any new hires.Ensure office compliance with operating policies and practices.Conduct routine office inspections to include monthly fire extinguishers, network closets, kitchen equipment, etc.Assist with preparations for special events such as Board Meetings, Executive Retreats, etc.Coordinate repair of office/kitchen equipment, painting, miscellaneous repairs, etc.Place service tickets for engineeringSource contractors and place service requests for repairs / installations outside the scope of engineering such as appliance repairs, electrical issues, plumbing issues, improvements to the physical spacePeriodically travel between offices to ensure readiness at Chantilly office.Provide additional support for local and remote offices, such as ordering supplies, coffee/water services, scheduling Iron Mountain document shredding.Coordinate with Security to provide office access for cleaners, engineers and other building services personnelProblem solve in-office issues as able, with guidance provided or reach out to appropriate Facilities leadership for review in a timely manner.  Qualifications

Bachelor's with 2-5 years (or commensurate experience)

Required Skills and Experience


• Experience in managing a medium-large office environment involving executive support, hoteling environments, and personnel management.
• Must be flexible, and able to multi-task, prioritize and operate in a fast-paced, rapidly changing environment
• Ability to work independently with minimal supervision as well as collaborate as part of a team
• Strong communication (written and verbal) and collaboration skills
• Ability to perform local travel between Northern Virginia metro offices.
• Some flexibility in work hours to accommodate meeting/executive support.
