To build a strong and effective working relationship with all contract Stakeholders _2._ To participate in internal and client meetings as appropriate _3._ To prepare and issue reports as requested by account management team, which may include, but not limited to: · Daily work order management · Receipting Open Purchase Orders · Vendor compliances · WHS management · Vendor Quote preparation 4. To assign PPMs and reactive tasks to the appropriate resources to ensure all tasks are completed within the contractual KPI’s/ SLA’s, and track all tasks via the Work Order management system (Si7 Service Insight CMMS) 5. To build a basic understanding and familiarity with site operations in order to better understand Iron Mountain’s priorities and needs 6. Coordinate, assist, support and resolve any stakeholder issues in a timely and professional manner 7. Support and assist in any project activities and/or onsite works _8._ To carry out all administrative tasks associated with the management of the contract, ensuring auditable trails are maintained, which may include, but not limited to: · Maintaining records/communication/documents of all maintenance and extra work activities (quotes, service reports, compliance, WHS, POs etc) in centralised filing system · Supports the achievement of service delivery KPI’s by actioning Work Orders / Reactive tasks quickly and efficiently · Preparation of reports and documentation (as referred to above) · Vendor administration, which may include, but not limited to: - Oversee and maintain security vetting details to ensure all contractual Security & Access requirements are adhered to - Ensure all Vendor documentation is provided, and recorded in central filing system - Assist with, and record all vendor online inductions and training - Support account manager with any Vendor raised WHS issues, incidents, near misses - Ensure all required documentation is obtained from Vendors - Attestation letters, Background checks, licenses, liability insurance, SWMS, Permits to Work etc. - Support Si7 CMMS vendor platform, enquiries, training and work order completions - Assist with WHS processes and communication to vendors, to ensure strong Safety Culture on site, is first priority for all works _9._ Support monthly Statutory & Non-Statutory Maintenance Schedule in line with Service Insight CMMS, contractual KPI / SLA requirements _10._ Assist in the preparation, monitoring and updating of budgets and reports where required _11._ Undertake other duties and tasks as the client or management may reasonably direct Ability to work as part of a team, as well as independently Knowledgeable in Si7 CMMS; Proficient in MS Tools CBRE, Inc. is an Equal Opportunity and Affirmative Action Employer (Women/Minorities/Persons with Disabilities/US Veterans)
