Provide support and assistance to the Site Services Manager maintenance and facilities team, collating and allocating work requests, prioritizing those requests, and identify urgent request affecting safety or business impact.
Maintaining contractor records, service records and placing proactive and reactive orders on suppliers
Arranging supplier visitsCoordinating visits with site service team and end user departmentsProviding supplier inductions and maintaining records of those inductionsSupport Site Lead’s initiatives for promoting wellbeing and workplace environment improvements.
Being lead contact for such initiativesOrganising initiativesProcurement for Site Service team, and site lead
Sourcing productsProduct identificationReconciling orders to POD’s of items deliveredProcurement for operations team for non-stock items
Supporting Site Services Manager in audit preparation and regulatory compliance, by maintaining records and information sources
Centrally store such record so they are easily recoverableFamiliarity with ISO9001 and ISO 14001 requirementsBe responsible for post room daily activities with respect to printing invoices and other financial documents, and their subsequent mailing. Postage of parcels via Royal Mail or carrier
Dealing with personal attention parcelsManage Royal Mail Account for posted itemsAssist the Site Services Manager in reducing the cost of operating the post room.
Be part of the Reception team
General reception duties and administrationRole during site emergencies including first aid callout, fire alarm roll callsKeep staff distribution lists and door access profiles up to date.How will you get here?
PC literate, with good English and Mathematics skills
Ability to operate in an environment with competing demands
Needs to be self motivated with good organizational skills
