Facilities and Reception Coordinator

Job Responsibilities

Assist with building access cards/IDsOversee and complete work orders, dispatching requests to technical staff or vendorsResolve issues related to building services, including janitorial, conference rooms, workstations, and furnishingsProcess invoices, assist with budgetary requests, analysis, and reportingManage inventory, ordering, and stocking of office and pantry suppliesSupport meetings and events, coordinating catering, setup, and cleanupPrepare workstations for new employees and help manage office movesMonitor facilities and schedule housekeeping dutiesParticipate in emergency response situationsCommunicate effectively with clients, agencies, visitors, vendors, and service providersAssist Facility Management Team with tactical planning and project managementManage small facility management tasks as assignedAssist with scheduling and coordinating maintenance activitiesEnsure appropriate follow-up with customers and minimize disruption during work executionEnthusiastically welcome employees, anticipate their needs and assist with office orientationsDemonstrate confidence, professionalism, responsiveness, and exceptional customer service skills.Actively monitor and maintain the break area, social hubs, conference rooms, print areas, and surroundings to ensure an environment that is safe, clean, organized, and reflects brand standardsCollaborate with all services within the facility and work with facilities management to ensure a safe and comfortable work environmentWork across teams to proactively communicate and prepare for meetings and events, to anticipate and address concerns, and to ensure operations without incidentCreate work orders for custodial, maintenance, safety, and security concerns through the appropriate channels/systemsPerform ad hoc assignments and administrative support for seamless and timely delivery of services, such asSorting mail according to destination and typeFold and/or post outgoing mail and seals envelopes by hand or machine and performs quality checks.Prepares packages and creates shipment labels.Collect, receive and distributes mail and packagesOrder and maintain office supply inventory.Performs scanning and /or imaging documentsReception services backupMeeting room and conference room set upsPerforms filing duties, which may include, purging and archiving old documents.Additional job duties, as requested

Ensuring Exceptional Service

Support programs, processes and procedures that reduce short- and long-term operating costs and increase productivitySupport KPI performance targets, monitor SLA's to identify potential challenges and implement corrective actions/best practices accordingly

Qualifications

GED or High school diploma requiredBachelor's degree preferred2+ years' experience in facility or property administration or equivalent experienceExcellent communication skills (written, verbal, and interpersonal)Superior customer service orientationAbility to maintain professionalism under stressful situationsStrong organizational and time management skillsAbility to plan, manage work, and multitask under time constraintsCapable of working without direct supervisionCollaborative work styleProficient in MS Office, especially ExcelComputer proficiency in CMMS/Work Order systems or other software (e.g., ERPs, SaaS)Data analysis skills
