What this job involves:

As a Facilities Coordinator at JLL, you will be the upper facilities management's trusted right hand on all facilities-related activities by performing routine site inspections to ensure all building processes and best practices are implemented and maintained while always having an eye on process improvement and cost savings, contributing suggestions as they arise. This comprehensive facilities support role combines onsite operational excellence with client service delivery, requiring you to provide admin support including front desk duties, basic housekeeping and appointment coordination while hitting key performance indicators and meeting service level agreements. You will play a crucial role in JLL's commitment to client satisfaction by working closely with clients and suppliers onsite to identify their facility-related enquiries and requirements, utilizing your planning and budgeting skills to take part in procurement of vendors and services, and ensuring everyone's health and safety by keeping safe workplace procedures in place and order while implementing and managing risk management programs, disaster recovery and business continuity plans.

What your day-to-day will look like:

Perform routine site inspections to ensure all building processes and best practices are implemented and maintainedProvide admin support including front desk duties, basic housekeeping and appointment coordination while hitting KPIsWork closely with clients and suppliers onsite to identify facility-related enquiries and requirementsTake part in procurement of vendors and services utilizing planning and budgeting skills for client needsEnsure everyone's health and safety by keeping safe workplace procedures in place and carrying out procedures as neededHelp implement and manage risk management programs, disaster recovery and business continuity plansFollow escalation and incident reporting procedures while complying with firm's guidelines and strategiesSupport the team and work well with others toward achieving targets while ensuring flawless project execution.

Required Qualifications:

University graduate with at least 3-4 years' experience in facilities management including general office administration, vendor, transport and procurement managementStrong English verbal and written communication skills with availability for regular and shifting schedulesPrior experience in facilities, property management, hospitality or other related fields with understanding of local occupational health and safety requirementsKnowledge of critical facilities and vendor management with understanding of various property systemsProven track record of flawless project execution while following company standards and procedures with team player mentalityAbility to easily interact with general client staff and vendors to deliver efficient services while addressing conflicts effectivelyExcellent and resilient communication skills with ability to face customers with smile at all times including during challenging situationsUnderstanding of workplace safety procedures and risk management program implementation.

Preferred Qualifications:

Experience in facilities coordination with understanding of building processes and best practices implementationKnowledge of process improvement and cost savings identification with suggestion contribution capabilitiesBackground in admin support including front desk duties, basic housekeeping and appointment coordinationUnderstanding of key performance indicators and service level agreements in facilities management environmentsExperience with planning and budgeting skills for procurement of vendors and services in facility operationsKnowledge of disaster recovery and business continuity plans with escalation and incident reporting procedure experienceFamiliarity with JLL core behaviors and company standards with client-focused service delivery experienceUnderstanding of conflicting priorities management and conflict resolution in facilities management environments.
