Facilities Coordinator

JOB PURPOSE: Under the supervision of the Director of Real Estate and Facilities Management, the Facilities Coordinator will work closely with department professionals at assigned locations to provide day-to-day facility-related operations support.

JOB SUMMARY: Oversee all activities inside a building, making sure that health and safety standards are met and making and/or arranging for repairs when needed.

ESSENTIAL FUNCTIONS: 

Coordinate and oversee work being completed by contractors, trades, and building staff. Manage multiple projects simultaneously Assist in room preparation for meetings Conduct regular inspections in assigned locations Fulfill on requests funneled through the  work order system Assist in placing service calls for maintenance  Act as Deputy Fire Warden in emergencies, responsible for overseeing searches and adhering to emergency response protocols to monitor safety Conduct site visits and evaluate buildings in assigned locations.

SECONDARY FUNCTIONS: 

Lay out and supervise the construction of office workstations and case goods Assist with other related duties as directed.

QUALIFICATIONS: Job qualifications are stated in the Essential Functions of the job description. An employee must be able to accomplish the Essential Functions to be competent in the job. Other special requirements are noted below.

Education: An Associate’s Level Degree or 2 years Facility of Office Management experience or equivalent combination of education and experience

Certifications: 

OSHA 40-Hour Hazmat preferred

Software Skills: 

Knowledge of Microsoft Office (Word, Excel, PowerPoint) Working knowledge of Email (Outlook) Familiarity with Oracle is a plus.

Other Skills: 

Knowledge of negotiation process, design, and construction preferred. Demonstrated ability to work and communicate professionally. Customer Service Excellence

Physical Demands: Prolonged periods of standing, walking, sitting, climbing, grabbing, reaching, kneeling, pulling, pushing 50 lbs or more daily.

Work Conditions: Work is typically performed in a building environment but may be required to perform job duties outside of the building or various properties.   

Special Schedule: The normal schedule is standard business hours Monday-Friday, 9 am-5 pm (8-hour shift); At times, must be willing to work more than 40 hours per week as driven by operational needs.

Travel Demands: Occasional travel may be required 

Job Experience: 

Experience with a work order ticket system is a plus. Building, Facility Management, and Maintenance operation knowledge Strong interpersonal skills and ability to work in a team environment. Non-profit experience is strongly preferred.

Build strong interpersonal relationships with internal and external stakeholders; Work cooperatively with others on a team; Excellent verbal/written communication and presentation skills.  Excellent organizational skills and attention to detail. Responsiveness to messages (Email, Texts, and Voicemail)

STATUS:  Full Time / Regular/ Non-Exem

Wage/Salary: $19.75 - $24.08 (hourly)
