Join BGIS as a Facilities Coordinator – Melbourne CBD

As BGIS continues to grow, we’re looking for a Facilities Coordinator to join our Melbourne CBD team. This role offers an exciting opportunity to manage critical operational tasks, ensuring efficient facilities support and exceptional service.

Key Responsibilities

Manage and maintain the CMMS system, capturing all preventive and reactive work orders. Act as the first point of contact for both internal and external customers concerning maintenance queries. Allocate and delegate work orders to meet contract requirements and KPI goals. Generate reports, primarily in Excel, to support various contract needs. Assist with compiling quotes, invoices, essential safety maintenance service reports, and response documentation. Utilize the Microsoft Office Suite, particularly Excel, Word, and Outlook, and work order management systems. Support WH&S and permit-to-work processes. Handle general administrative duties, including WHS, security, invoicing, and purchase orders. Aid in budget preparation and forecasting. Respond to reported issues, ensuring quick, efficient resolutions.

Skills & Experience

Background in building or facilities management is preferred. Experience in creating detailed reports and recommendations. Proficiency in QA, OH&S, and environmental systems. Adaptable and proactive approach to changes and problem-solving. Skilled in Microsoft Office applications, including Word, Excel, and Outlook.
