Job Title: Facilities Coordinator
Location: BGIS Australia, CBD Location (close to public transport)
Type: Full-Time, Hybrid (4 days onsite, 1 day from home)
Role Overview
BGIS is seeking a proactive and detail-oriented Facilities Coordinator to support our contract team in managing essential administrative tasks. This hybrid role offers the flexibility to work both onsite (4 days) and from home (1 day) to support effective teamwork and client service.
Key Responsibilities
Administrative Support: Handle general administration tasks, including filing, photocopying, incoming calls, and preparing correspondence. Document Management: Assist in preparing and coordinating key contract documentation, such as manuals, plans, reports, and meeting minutes. Contractor Coordination: Support contractor management, ensuring compliance with OHS&E policies. CMMS Management: Oversee the Computerised Maintenance Management System (CMMS) for preventative and reactive work, ensuring data accuracy. Invoice Processing: Process invoices to support financial management. Compliance: Ensure adherence to OHS&E policies and procedures by all stakeholders.Qualifications & Experience
Essential:
Experience in a similar administrative role with a strong understanding of QA, OHS, and environmental systems. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent written and verbal communication skills. Higher School Certificate or equivalent, with formal qualifications in Administration or Management.Desirable:
Background in Building, Mechanical, Electrical, Project Management, or Facilities Maintenance Management. Familiarity with CMMS systems. Training in OHS, QA, or environmental disciplines.About BGIS
