About the Role
Are you ready to step into a pivotal role with a global leader in facility management? BGIS is seeking a dedicated and proactive Facilities Coordinator to join our team. In this role, you will ensure the successful management and delivery of our Services Agreement, consistently meeting KPIs, achieving financial targets, and exceeding customer satisfaction expectations. You’ll lead communication with stakeholders and subcontractors while maintaining compliance with OHS&E policies and procedures.
What You’ll Do
Support day-to-day operations and maintenance across a portfolio of sites, acting as the primary point of contact for clients, the BGIS Operations Centre, and vendors. Ensure all aspects of the Services Agreement are delivered, with a focus on monitoring and achieving KPIs. Manage work orders and service requests in the CMMS, ensuring timely updates and completion. Review and approve payment claims and supporting documentation, resolving any non-conformances. Facilitate reactive maintenance and minor works, ensuring proper resource allocation and adherence to tender obligations. Monitor compliance with BGIS business systems (QMS, OH&S, EMS), and store information on SharePoint. Participate in risk and hazard reporting, ensuring corrective actions and compliance with contractor management systems. Build and maintain positive client relationships by delivering exceptional service and meeting contractual obligations. Prepare agendas, minutes, and action items for client meetings, fostering open communication. Promote teamwork and accountability within the team to maximise performance and client outcomes. Research and implement sustainability initiatives, collaborating with stakeholders to meet company and client objectives.What We’re Looking For
Experience & Knowledge:
Proven ability to deliver Facilities Management, Project Management, and Financial Management Services. Familiarity with QA, OH&S, and environmental systems. Strong time management and prioritisation skills. Proficiency in desktop applications (Word, Excel, Outlook) and CMMS systems. Ability to adapt to change and solve problems creatively.Qualifications:
Essential: Experience in Facilities Management or a related field.
Desirable: Experience managing a portfolio of sites and an industry-recognised qualification in Building/Facilities Management, Project Management, or a related discipline.

External: Client representatives, tenants, subcontractors, suppliers, and members of the public.
