Providing onsite supportYou will be the upper facilities management’s trusted right hand on all facilities-related activities. You’ll do this by performing routine site inspections to ensure all building processes and best practices are implemented and maintained.You’ll also lend the team a big hand by providing admin support including front desk duties, basic housekeeping and appointment coordination.  Also part of your job scope is to hit key performance indicators and meet service level agreements. As below details:Demonstrate leadership, responsiveness and creativity.Manage OB, Cleaning, and Gardeening vendor operation (Agency)Manage Security vendor operation (Agency)Manage Pest Control vendor (Principal)Manage M&E vendor (Fire Alarm System, HVAC, Security System, Access Control, CCTV) for PM & CM activitiesManage Receptionist day to day operation (include reporting Tracker), and receptionist vendor managementManage Pantry, Office, First Aid supplies (Order & Tracker), and supplies vendor managementManage Client Car Parking (Payment & Request)Manage client Access Card (Building Card)Corrigo WO approverPOR & GRR submission to FSC team.Vendor invoice end-to-end process. (stamp, scan, GR, invoice submission, payment)Prepare and submit invoice with supporting document to client APTrack and monitor Client payment (Remittance).Understand the Facilities Management scope for the client assigned procedures ensure implementation and compliance of the processes.Support regional team in the implementation of FM operation (HSE, Finance, Engineering, Operations)Ensure compliance with JLL minimum audit standards.

Event SupportEnsure rooms are stocked with appropriate supplies, as required (white board markers, pencils, pens, notepads, etc.)Support team for client’s event ie. Town Hall, Fire Drill, etc

Client/Stakeholder ManagementProvide monthly reporting related all ORM SoW (Finance tracker, SLA deliverables, Energy Management, HSE report, Incident report, receptionist performance, vendor PM delivered, supplies report)Conduct and Provide Merck site monthly checklistPrepare and provide monthly ops review to FM, to be submitted to regional team.superior customer service to meet on-site client’s expectationsBuild and develop effective client / stakeholder relationships across multiple levels of the organisationEnsure any faults or defects are recorded and reported to ensure an outstanding client experience is maintained

Procurement & Vendor ManagementEnsure that all stationery, catering and supplies are maintained and tracked in office/pantry supplies trackerInform FC or FM to re-stock the office/pantry suppliesManage the induction of all contractors on site to ensure they perform to the required standards when requiredManage procurement of vendors and services.

Finance & Operations ManagementSupport FC & FM to checking a Handling Merck invoices and complete GRN process under K2 workflow.Assists Merck Finance Dept in handling incoming/outgoing cheques (to be collected by vendors) & maintain its acknowledgement book.Support to call Merck’s printing vendor for Merck Employee’s request Printing business card and providing ID tag/access card for new joined.Ensure all invoices, as they relate to the FM operation are appropriately processed and tracked when requiredEnsure prompt and accurate management of purchase orders in the JLL financial system, as requiredAssists in maintaining clean, safe & secure working environment via supervision of pantry and meeting room cleanliness;Assists in purchase requisition for office supplies; food, beverages and maintaining stock recordTo manage incoming emails via Info mailbox, with screening process and forward it to right recipients in a timely manner.Seek ways to constantly reduce costs and improve operational standardsReport and follow up of building management issues when requiredManagement of WHS including warden and first aid lists/ suppliesProvide facilities reporting and administration requirementsManage Corrigo WO work process Prepare weekly updates and monthly reporting as requested

Risk ManagementAssist in the implementation and management of the property risk management programFollow established escalation procedures and incident reporting proceduresAdhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines,  procedures and strategies
