Facilities Coordinator - Bangsar South

Reporting to the Facilities Manager, Senior Manager, or Regional Director, the Facilities Coordinator is responsible for ensuring a safe, compliant, and efficient work environment at their assigned location.
 

What will you be doing?

The Facilities Coordinator serves as the primary point of contact for all site-related facility matters, acting independently to ensure that facility assets align with business and legal requirements. Responsibilities include crafting PR/POs and handling invoices in Ariba, overseeing both soft and hard services, and collaborating with landlords, building management, and vendors. The role involves conducting stakeholder meetings, maintaining site records, handling facility requests, and supporting various projects, reports, and programs. Additionally, the Facilities Coordinator contributes to energy efficiency and waste recycling initiatives by supervising and reporting progress while also providing access, training, and support on facility equipment.

Beyond core facility management, the role extends to front-of-house support, such as visitor management, handling incoming calls, conducting site inductions, and handling office mail and courier services. Other duties include overseeing access control, ordering office supplies, setting up meeting rooms, and ensuring the availability of office and café consumables. The Facilities Coordinator also plays a crucial role in site safety by supporting regional HSE management, reporting non-compliance issues, maintaining first aid supplies, and assisting with emergency procedures such as evacuations and shelter-in-place drills.
 

What will you need to be successful?

The ideal candidate should have a high school diploma or equivalent, with strong literacy, numeracy, and IT/Microsoft Office skills. A minimum of three years experience in a facility support role or five years in a similar corporate environment, front-of-house services, hospitality, or another facilities-related field is helpful, particularly with experience in invoice and supplier support.

Key proficiencies include collaboration with various functional teams such as Procurement, MedEd, and HSE, along with some responsibilities in financial/budget management and expense reporting. The role requires strong customer service skills, an understanding of office management needs, and the ability to balance daily issues, take direction, and work independently. Organizational and presentation skills are also important to ensure efficient operations.
