Overview

Responsibilities:

Facilities Management: Coordinate all activities related to Chubb, third-party vendors, and suppliers to deliver high-quality services to all employees. Serve as the primary point of contact for facility management requests and issues, ensuring effective communication with all teams. Maintain daily contact with employees and local stakeholders to uphold Chubb's FM management standards. Maintenance Oversight: Schedule and oversee regular preventive maintenance for building systems and equipment, including HVAC, plumbing, electrical, and security systems. Respond promptly to urgent maintenance requests, coordinating necessary repairs to minimize downtime. Conduct routine inspections to proactively identify and address potential issues. Supplier Coordination: Act as a liaison between the Chubb FM team and external service providers, including Integrated Facility Services, cleaning, maintenance, workplace hosts, shuttle services, and security. Oversee service contracts under the supervision of the Regional Facilities Manager, ensuring timely and quality service delivery. Budget Management: Assist in the preparation of the facilities budget, ensuring cost-effective solutions for maintenance and operational needs. Monitor expenditures and provide regular financial reports to management regarding facilities-related costs. Inventory and Supply Management: Maintain an accurate inventory of facility-related supplies, including office furniture, equipment, and maintenance materials. Order and replenish supplies as needed to ensure uninterrupted operations (e.g., office supplies, copiers, coffee supplies, business cards, stationery, access badges). Car Fleet Management: Collaborate with the Regional Facilities Manager and Head of Operations to ensure effective management of the company’s vehicle fleet. Monitor the delivery, return, allocation, and maintenance of vehicles. Workplace Host Supervision: Ensure adherence to Chubb's reception processes and maintain meeting rooms and reception areas. Ensure cafeteria supplies are in order, arrange transportation (taxis and couriers), and set up meeting and lunchrooms. Employee Onboarding and Offboarding: Administer processes related to new employee arrivals and departures, including lockers, access cards, business cards, and the Condeco office reservation system. Space Planning and Utilization: Administer the desk booking system and contribute to the planning and coordination of office layouts to optimize space utilization. Coordinate office moves and installations for new employees or departments. Health and Safety Compliance: Ensure all facilities comply with local, regional, and national health and safety regulations. Collaborate with the Health and Safety Manager and Security Manager to develop and implement safety processes and applications.

Qualifications:

Associate or Bachelor’s degree in Facilities Management, Business Administration, or a related field is preferred. 1-3 years of experience in facilities coordination, maintenance management, or a related role. Fluent written and spoken English at a professional level. Proactive and service-oriented attitude with a customer-focused approach. Strong ability to prioritize tasks and manage multiple responsibilities simultaneously. Excellent problem-solving skills and the ability to respond effectively to emergencies or unexpected issues. Excellent verbal and written communication skills for effective interaction with staff, vendors, and management. Familiarity with facilities management software and standard office applications. Knowledge of workplace safety practices and commitment to upholding safety standards.
