Job Description Summary:

The Facilities Coordinator will provide administrative support to the Facilities Manager and RE&F organization.

Job Description:

The Facility Coordinator will work closely with the Facilities Manager to support all facility activities.  The Facilities Coordinator will provide administrative support to the Facilities Manager and RE&F organization, manage office functions including: Work Order coordination, database management, daily office operations, and coordination of budget/accounting systems, maintaining office records, and providing general support services for other BU staff.    Additionally, the Facilities Coordinator, under the supervision of the Facilities Manager will purchase supplies and furniture, create purchase orders, and provide scheduling for Town Halls and other activities.


Essential responsibilities include the following. Other duties may be assigned.

 Assist the Facilities Manager in all aspects of project implementation as needed.Support Facilities Manager with external contracts as needed.Prepare and maintain RFP’s, bid information, and other contract documents.Set up, maintain, and organize department’s central files, information, and filing.Process, file, and submit invoices.Maintain budget spreadsheets, prepare monthly accruals, and reconcile PCard monthly.Purchase office supplies, janitorial supplies, ergo supplies, furniture, and other miscellaneous supplies as directed by Facilities Manager.Assist Ergonomics with deployment of ergonomic supplies as needed.Schedule Town Halls and facility recreational equipment and activities.Provide administrative support to Facilities team.Provide support to Mail Clerk as needed.

Qualifications/Requirements:

Education:  

Associates degree or equivalent 2 years of facilities experience.

Experience:

Facilities Administration in a cultural institution or high profile facility.Demonstrated ability to work and communicate professionally, verbally, and in

written form with internal and external customers.

Demonstrated customer service excellence.

Knowledge:

Microsoft Suite of products including Excel, Outlook, Word, and PowerPointFacility and Maintenance operations.

Skills:

Must have strong interpersonal skills and ability to work in a team environment.Responsibility for follow-up on actions based on various team projects.High organization skills in managing multiple projects simultaneously.Build strong internal and external relationships using effective verbal and written

Communication skills.

Recognize and act on opportunities; adjust direction when situation warrantsWork independently without regular direct supervision.Must be a provider of excellent customer servicePerforms other duties as required.

The U.S. national annual pay range for this role is

$38500 to $95150
