Contract Management
Manage the successful delivery of the Soft & Hard Services, as contained in the MSA and SLA, effectively.Develop and maintain a strong working relationship with Sub- contractor.Manage change and continuous improvement effectively.Communicate and advise suppliers of matters affecting the working environment, relating to OREG FM services scope.Resolve and escalate any discrepancies or substantiation issues in a timely manner.Routine inspections of the property in respect of facilities services.Communicate with maintenance person and sub-contractors during and up to completion of jobs.Receive calls from clients with regards to problems in the building.Consult with service providers via telephone or email regarding quotations and service dates.Contractor/Services Management
Manage all repairs/deliveries, renewals, and escalations of sub-contractor agreements.Establish and maintain strong working partnerships with all suppliers; attend monthly meetings with the outsourced Sub-Contractors to ensure on-going contract compliance and budget performance.Plan and co-ordination of the annual Planned Maintenance Schedule and ensure that appointed suppliers conduct work to the required standard.Effectively reports on the quality of services rendered by suppliers and ensures that deliverables from Service Providers meet SLA specifications and budget.Health and Safety
Report unsafe situations and take precautions to avoid injuries.Monitor that stores/workshop areas are tidy and presentable.Ensure all Health & Safety mechanisms, processes and procedures are in place, always monitored and adhered toEnsure all Sub-Contractors and staffs comply with OHS Act policies and procedures.Assist with Health & Safety information from sub-contractors (37.2 agreements, letter of good standing, appointments.)Administration
Raise workorders in Nuvolo system for request for contractors.Load related invoices on Core AP system to relevant FM cost centre and project, Country FM support.Process all OREG Facilities invoices in Core AP system and to ensure payments.Check status of invoices with Accounts Payable Team and on Core AP system and ensure invoices have gone through all the stages until “paid.”Raise queries with EMEA Finance and Country Facilities Manager on outstanding and urgent payments.Ensure that all deadlines and targets with regards to reporting, monetary management, administration, and operations.Client Invoices management and procedure
All invoices from suppliers processed in Core AP Invoicing system.Action/distribute all work orders on Nuvolo system.Co-ordinate/Re-assigned work order requests in NuvoloFinance Management
Assist with the preparation of the annual budget for operation of the OREG FM scope of services.Monitor the expenses and costs within the budget.Ensure compliance with JLL/OREG policies and procedures related to monetary management, controls.Identify opportunities for major revenue enhancement, major cost reduction production efficiency.#LI-WM1
