Facilities Manager

Key Responsibilities:

Maintenance Management:

Assist in the development and implementation of a comprehensive maintenance program for the facility, covering preventive and corrective maintenance activities.Coordinate and oversee maintenance activities, including repairs, renovations, and equipment inspections, to ensure compliance with relevant standards and regulations.Maintain accurate records of maintenance activities, including work orders and service contracts.Conduct regular inspections of the facility to identify potential maintenance issues and address them promptly.

Vendor Management:

Assist in the selection, contracting, and management of external vendors and contractors for various facility services, such as cleaning, security, landscaping, and equipment maintenance.Monitor vendor performance, ensuring adherence to service level agreements and quality standards.Evaluate vendor proposals, negotiate contracts, and make recommendations to the Facilities Manager.

Budgeting and Financial Management:

Support the Facilities Manager in developing and managing the facility's budget, including forecasting expenses and ensuring budgetary compliance.Assist in monitoring financial performance, reviewing and approving invoices, and providing recommendations for cost-saving initiatives without compromising service quality.Maintain accurate and up-to-date financial records related to facility operations.

Health and Safety:

Collaborate with the Health and Safety team to maintain a safe and secure environment for facility occupants.Assist in the development and implementation of health and safety policies, procedures, and training programs.Conduct regular safety inspections and ensure compliance with relevant safety regulations and standards.Respond to emergency situations and coordinate with appropriate stakeholders in emergency preparedness and response planning.

Tenant/Employee Relations:

Maintain positive relationships with tenants/employees, addressing their concerns and providing excellent customer service.Collaborate with internal stakeholders to ensure efficient communication and resolution of facility-related issues.Assist in organizing tenant/employee events and programs that contribute to a positive work environment.

Requirements:

Bachelor's degree in facilities management, engineering, or a related field, or equivalent experience.Proven experience in facilities management, property management, or a similar role.Knowledge of building systems, maintenance best practices, and applicable codes and regulations.Strong organizational and project management skills, with the ability to handle multiple priorities and meet deadlines.Excellent communication and interpersonal skills, with a customer service-oriented approach.Proficiency in using facility management software or tools for maintenance tracking, budgeting, and reporting.Experience in vendor management, contract negotiation, and oversight.Knowledge of health and safety regulations and practices.Strong problem-solving and decision-making abilities.Ability to adapt to a rapidly changing work environment and work effectively within a team.
