Facilities Property Coordinator
Facilities Property Coordinator **POSITION DETAILS** Reporting to the Facilities Property Manager, The Facilities Property Coordinator is responsible for maintaining accurate records of fixed assets acquired, transferred, or disposed of, in accordance with University capital asset management policies. The role ensures all asset costs are correctly calculated and recorded, tag numbers are assigned and coordinated, and periodic reconciliations and inventories are completed across funding sources including State, Research Foundation, and Non-Tax Levy. The Coordinator will also support credit card program administration and compliance tasks. This position may involve occasional physical activity, including moving equipment, bending, lifting, walking to campus locations for inventory and salvage. In addition to the CUNY Title Overview, typical duties include but are not limited to: + Review purchase orders and invoices to classify assets and upload to Sharepoint ensuring all data is updated and accurate. + Update and maintain the CUNYfirst Asset Management database, including tagging, location, transfer, inventory, and disposal of assets. + Audit and manage the tag control log for accuracy and completeness. + Monitor the Research Foundation database monthly to identify untagged assets and coordinate tagging with end users. + Participate in the college-wide annual reinventory of fixed assets. + Analyze inventory data and manage scanner uploads to Tumbleweed. + Serve as a backup administrator for the Tax Levy corporate credit card program. + Coordinate the application process for new credit cardholders. + Maintain and update the Vendor Management Unit Excel spreadsheet. + Create GASB-compliant leases in the Lease Administration module. + Execute special projects and assignments as directed. **QUALIFICATIONS** Bachelor's Degree required. **Preferred Qualifications** + Proficiency in Microsoft 365 (Excel, SharePoint, Outlook, etc.). + Proficiency in CUNYfirst system. + Background in higher education or public sector asset management. + Experience in fixed asset inventory processes. + Knowledge of GASB 87/96 lease accounting standards and lease administration. **CUNY TITLE OVERVIEW** Maintains and tracks fixed assets and equipment. - Coordinates and communicates with Purchasing, Accounts Payable, Receiving, and Storeroom personnel to track and manage fixed assets inventories - Conducts physical inventories of College property in accordance with established federal, state, and city policies and procedures - Works with College Public Safety personnel to safeguard property and maintain proper equipment control - Maintains systems and databases to track assets; prepares and reviews routine reconciliation reports - Assists in proper equipment disposal, transfer and salvage activities following City, State, and Federal regulations, and in accordance with University policy - Assists in records management - May supervise personnel in conducting inventory and performing routine tasks - Performs related duties as assigned.
