What You'll Do

Overall responsible for the Reception team and Internal services with responsibility for organization of work, people development, HR, recruiting and cost management.

Facility management

Ensure outstanding standards of office facilities and business services through effective processes, established systems and routinesCoordination and supervision of all the office services, e.g. reception, security, cleaning, cantina, maintenance & repairs and office suppliesResponsible for office related purchases and servicesDevelopment and implementation of methods to optimize internal servicesEnsure that the office space is fully compliant with local health, safety and emergency legislation (e.g. fire safety, first aid facilities etc.)Maintain close contact with landlord personnel and ensure compliance with the BCG's Safety and Security guidelinesFollow Risk Review Team guidelines and recommendations and compare with global guidelines, follow up, implement and ensure the office are up to date Coordinate year wheel of all in-house eventsCoordinate introduction of office processes and services to new hiresBack up as receptionist tasks and responsibilities when needed

Purchasing/controlling

Proficiency in Palette's BCG invoice and contract systemSupport Nordic Finance with local office vendor and invoice inquiriesCollaboration with suppliers and service providers, including conducting negotiations, concluding agreements, follow-up on terms, conditions and processes, and handling complaints etc.Budgeting and cost controlling in your area of responsibilityCooperate with Business Services Manager and Nordic finance on processes, accounting matters, budget phase etc. through financial year and participate in budget process and revision of CostReporting provided by Nordic Finance for all relevant accountsContract and NDA management

Staff management

Mentoring, developing and motivating team membersAllocation of capacity in the Reception Team, workload distribution and supervising Work Life Balance

What You'll Bring

Bachelor’s degree or equivalent education or relevant work experience (local adaptation)A minimum of 5 years work experience in an international environmentProficiency in one or more Scandinavian language and excellent written and oral EnglishExcellent skills in MS Office packageOutstanding communication skills (written and oral)

Who You'll Work With

Our Operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and management assistants, receptionists, facilities staff, and a Business Services Manager who leads the entire Operations Team.
