ABOUT THE POSITION

VHB’s headquarters in Watertown, MA is looking for a Facilities Services Coordinator to provide a variety of support services within a facility.

 

Hiring Salary Range - $23/hr - $25/hr. However, the final agreed-upon compensation is based on individual education, qualifications, and experience. 

 

Responsibilities

Mailroom ServicesOperate and maintain postage machine including supplies, services, reports, and fundsReceive, sort, scan, and distribute incoming mailRetrieve, weigh, meter, and record outbound mail in accordance with USPS guidelinesPickup and drop-off mail and packages at Watertown Post OfficePrepare outbound FedEx shipments of all sizes and weightsReceive, record, distribute all loading dock deliveriesOrder, organize and maintain ample amounts of office supplies and shipping materialsMaintain well-organized and tidy mailroomCafeteria ServicesSet up and maintain coffee service areaWash dishes and run dishwasher throughout dayMaintain cleanliness of counters and tablesManage cafeteria inventory Stock supplies as neededOversee equipment maintenance schedulesExecutive Conference Center ServicesSet up and breakdown meetings and eventsCoordinate AV and Facilities needs with ITEnsure all conference rooms are clean and properly stocked with amenities Functions and EventsCoordinate inhouse meetings and events including company charitable eventsAssist with the ordering and preparation of food as necessaryManage set up and breakdownOccasional evening hours requiredVendor CoordinationMonitor quality of deliveriesEnsure delivery schedule is metProcess maintenance requestsManage staff account cardsOffice AdministrationCover front desk; greet visitors, answer and direct inbound calls to main phone lineAssist with new hire setups and office relocationsAssist with coordination of maintenance for department vehiclesWork cohesively with facilities and administrative team membersOther administrative duties as needed

Skills and Attributes

Qualifications

Able to walk and stand for periods up to 6 hoursAble to lift, carry, push and pull objects up to 30 lbsAble to work Monday-Friday, 9 AM- 6 PM in officeValid driver’s license Previous mailroom or office facilities experience a plus1-2 years of general office experienceHigh school diploma or GED
