Facilities Services Coordinator

The Facilities Services Coordinator is responsible for managing the work order program and information storage protocols/systems in Sitka.

The position requires problem solving skills in that not all scenarios will be able to be met with pre-prescribed protocols. Furthermore, there could be responsibilities after hours and on weekends. Work may be assigned based on the facility’s needs.

Key Essential Functions and Accountabilities of the Job

Serves as the controller for facilities work order program in Sitka.

Assigns electronic work orders.

Dispatches emergency work requests.

Tracks outstanding work orders on software platform.

Runs work order reports.

Follows up with management and staff regarding overdue or deficient work orders.

Liaises between Facilities department and overall organization.

Manages Facilities department shared drives.

Restructures Facilities shared drive.

Maintains on-going management of the system.

Oversees/Maintains Facilities TJC Dash Boards.

Maintains department records regarding survey requests.

Oversees archiving project.

Coordinates shipping and scanning of historic design documentation to a digital format.

Liaises with ANTHC.

Maintains facilities key registration program.

Issues keys.

Tracks keys.

Recovers keys.

Maintains facilities electronic calendar.

Updates PTO and sick leave.

Schedules events.

Administers tasking as assigned.

Travel preparations for senior department managers.

Tracking freight and purchases.

Tracks electronic preventive maintenance system.

Track completion rate for PM’s.

Assists with data entry into database.

Performs other duties as assigned.

Education, Certifications, and Licenses Required

Associate’s Degree preferred. 2 years of Experience can be exchanged for a degree.

Experience Required

3 years’ office experience preferably in healthcare, facilities, or construction.

Must have a working knowledge of Microsoft Office.

Must be able to integrate, communicate, and facilitate with facilities department.

Must have a current and valid Alaska driver’s license and remain insurable under the SEARHC automobile insurance policy.
