An exciting opportunity has emerged to join WTW’s Facilities Services team at our stunning Sydney office! As part of WTW’s Global Real Estate and Workplace Solutions (RE&WS) team, Facilities Services oversees the working environment, including our buildings, reception, workspaces, catering, meeting rooms, mail, safety, and security.

This is a full-time, office-based role. As a Facilities Services Coordinator, you will be a key contact for both internal and external clients, performing a variety of tasks. You will work collaboratively with the team to achieve local and global RE&WS and Facilities objectives.
The Role
First point of contact for colleagues, visitors and clients to the office and assist with queries whilst providing high level customer service and support Perform all duties related to reception including call handling and visitor management Ensure visitors are identified in accordance with security procedures and are given necessary safety information Arranging local, interstate and international couriers; coordinating the distribution of incoming and dispatch of outgoing mail Ensure customer-facing conference rooms and meeting rooms are neat and presentable, stocked with equipment and/or refreshments daily, as required Organise catering as required Perform daily maintenance and inventory of basic meeting room equipment such as Poly Studio bars, tables and chairs, lighting and air conditioning Develop and maintain strong relationships with caterers and local vendors Monitor the local Facilities Services mailbox and respond promptly to enquiries Assist with colleague office inductions and tours Ensuring the office cleaning schedule is completed daily by our cleaning partner Assist with overseeing stationery and office supplies Work with building management, office management, Corporate Real Estate and outside vendors to arrange for repairs and maintenance relative to office furnishings, fixtures, equipment, space, and services OHS support as needed including Fire Warden and First Aid TrainingThe Requirements
Proven experience in a professional office environment providing general office supportExceptional customer service skillsStrong people skills, and the ability to deal professionally with clients, vendors and associates on the phone and in personAbility to adapt to different people, situations and changing priorities with grace and flexibility as well as demonstrating an appropriate sense of urgencyReliable and punctualStrong organisational skills, with demonstrated ability to multi-task and prioritise effectivelyA strong focus on detail and accuracy of workStrong time management skillsAbility to communicate openly and effectively both verbally and in writing Intermediate knowledge of Microsoft Office including Word, PowerPoint and OutlookConfidence with trouble shooting and basic knowledge of AV equipment in a meeting room environmentOccasional time commitment outside of normal business hours
