Facilities Supervisor

Key Job Responsibilities 

Develop, train, and cross-train administrative employees in their responsibilities to ensure proper support of the site.  Reconcile inventories on an on-going basis. Identify and investigate variances and, upon approval, make appropriate adjustments.  Take a leadership role in the organization of annual physical inventory.  Oversee the receipt, verification, and processing of all vendor invoices in a timely and accurate manner.  Ensure all telecommunications equipment is operational and notify appropriate services when problems arise.  Train and supervise front desk operators to receive and direct all incoming calls in a timely and  courteous manner.  Evaluate work of subordinates and conduct timely performance appraisals.  Oversees planning of menus and office refreshments, determine food service budget expenditures and coordinates purchases and ensures adequate supplies are maintained 

Other Related Duties 

Responsible for understanding and complying with all policies, procedures, and regulations relating to job duties.  Perform other duties as assigned by management. 

Job Requirements 

Minimum Education and Experience: 

 

Bachelor's Degree preferred and/or equivalent amount of experience.  At least 3 years progressive experience in an admin leadership role. 

Knowledge, Skills and Abilities: 

Proficient in using advanced Microsoft Office specifically in Excel.  Customer service focus. Excellent written and spoken communication and interpersonal skills.  Possess above average interpersonal, presentation, and problem-solving skills.  Ability to identify priorities, organize and manage time effectively.  General office experience, including exposure to accounts payable, inventory control, telephone systems.  Highly analytical and with above par business acumen.  Make informed decisions based on data and statistics.  Responsible for coaching and mentoring and making sure employees have the tools necessary to perform their jobs.  Identify areas for improvement and participates in strategic planning for department.  Full compliance with local, legal, global and regulatory audits. Performance coaching, scorecards development plans must be accurate and executed in a timely manner.
