Facilities Supervisor

The Facilities Supervisor will be responsible for the organization and coordination of administration duties and office procedures. The role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Facilities Supervisor responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities: 

Organize the office layout and prepare new hire cubicles  Responsible for the coordination and management of office expansion activities  Oversee facility coordination in all remote offices  Assist with the onboarding of new employees and consultants, including but not limited to travel arrangements and ordering business cards   Access card management (ordering, activation, handling)  Front desk related tasks (welcoming guests, answering phones)  Create/maintain/update all procedures relating to facilities and work with the building maintenance to resolve any facilities issues  Maintain office/kitchen supplies, including but not limited to inventory (incl. coffee machine, dish washer), ordering & restocking (e.g. coffee, office supply, water, kitchen supply), distributing supplies  Maintain printer requirement supplies (ordering, problem resolution, replacement of paper)   Process incoming mail (open, stamp, distribute) and outgoing mail/FedEx when needed  Set up meetings and schedule conference rooms and  prepare conference rooms for training, interviews and customer presentations when needed  Keep office organized, orderly, and functional; break area, print areas and conference rooms stocked and tidy throughout the office - regularly checks  Kitchen / Rec area: set up/dismantling coffee machine, descaling; dish washer   Manage monthly employee celebration activities  Other duties as assigned
