Facility Coordinator Lead

Responsibilities 

  

Oversee and manage a team of Facility Coordinators, ensuring efficient and accurate work order processing and scheduling  

Implement standard operating procedures for work order management and scheduling. 

Conduct quality assurance checks on work order assignments and schedules 

Mentor and train new and existing Facility Coordinators on best practices and CMMS usage. 

Mediate between Facility Coordinators and the facility management team to optimize resource allocation. 

Analyze workload distribution and provide the facility management team with accurate metrics  

Collaborate with the FM Team to develop long-term maintenance strategies and any shutdown planning. 

Provide guidance for urgent, emergency, and high-priority work orders, ensuring swift response, efficient resource allocation, and timely completion through effective coordination with technicians, supervisors, and relevant stakeholders throughout the resolution process. 

Generate and present comprehensive reports on team performance, work order metrics, and SLA compliance. 

Coordinate with the client’s service center to streamline communication and onsite support to ensure proper emergency work order routing processes. 

Implement continuous improvement initiatives to enhance work order management efficiency. 

Ensure compliance with safety regulations and company policies across all managed facilities. 

Participate in budget planning and resource allocation for facility maintenance activities. 

Oversee PO system and ensure timely approvals, work order close outs and vendor billing accuracy 

Ensure consistent process are implemented account-wide 

Review and approve employee timecards, ensuring accuracy and compliance with company policies and labor regulations and budget guidelines. 

   

Qualifications 

  

Minimum of 3-5 years of experience in facility coordination or management 

Proficient in using CMMS (Computerized Maintenance Management Systems) and Microsoft Office 

Strong organizational and multitasking skills 

Skilled in data analysis and report generation 

Excellent verbal and written communication skills 

Ability to facilitate meetings and present information effectively. 

Knowledge of facility maintenance practices and procedures 

Familiarity with safety regulations and compliance standards 

Proactive and customer-focused approach 

Ability to work under pressure and manage multiple priorities. 

Meticulous with a focus on quality assurance.
