The Facilities team is hiring for Facility Manager.

The Facility Manager at Cboe will define the standard for Cboe facilities as the company expands globally. It is an opportunity to drive consistency, efficiency, and help to sew company culture into a world class workplace experience. This is an operations role with focus on both front and back of house Project Management-Facilities. Directs all activities involved with Office Services operations, such areas as space planning, project management and facilities.

Your responsibilities will be:

Oversee day-to-day operations of multiple facilities ensuring that all services are effectively delivered, and facility needs are met including general maintenance, tour ready reports, office reservations system, lease abstracting, contract data base, work order system, move management, off-site records storage, mailroom/copy/reception functions. Ensure that facility management staff consistently provides positive and prompt responses to requests.Drive innovation through the development of best practices, operational and service efficiency as well as the identification of industry trends and tools that would contribute to our operational excellence goals. Assist in the development of the Facilities playbook and standards guidelines.Communicates difficult and sensitive information tactfully. Effectively communicates relevant information to superiors. Proactively manages changes and, identifies any potential crisis or issues and devises contingency plans to mitigate concerns.Supports and/or manages construction or renovation projects (refresh) as necessary and in collaboration with the designated construction management team. Consults with regional business leaders on all construction and renovation projects and acts as the liaison to support regional real estate project activities.Ensures that documents are current and complete, as well as appropriately managed and stored. Assures that legal documents are completed and signed. Conducts post-mortems and creates Lessons Learned reports to identify elements that were both successful and unsuccessful. Manages the budgeting and invoice reconciliation processes for assigned tasks.When applicable, facility managers may need to create, revise and execute project plans, schedules, timelines and track milestones on projects. Responsibilities would include managing day-to-day operational and tactical activities of a project and may service as on-site resource. In situations where facility manager serves as project manager they are expected to develop and deliver progress reports/status updates, coordinate proposals, outline project requirements, and provide any other documentation and/or information to facilities management team.Effectively applies Facility Management methodology and enforces standards. Minimizes exposure and risk. Ensures timely completion of assigned tasks. Identifies resources needed and assigns individual responsibilities. Identifies and resolves issues and conflicts within the Team.When applicable, facilitates meetings and prepares/distributes notes in a timely fashion. Delivers informative and well-organized presentations to the team and facilities management.

The ideal candidate has:

5-7 years of Facility Management experience specializing in commercial office build-out and tenant improvement renovations.Excellent written and verbal communication skills and a self-starter attitude.Strong organizational and analytical skills with ability to provide efficient, timely, reliable and courteous service to end users.Advanced knowledge of financial terms and principles.Experience conducting advanced financial analysis and comprehending, analyzing, and interpreting complex documents.Working knowledge of leases, contracts, and related documents.Minimum Education Requirement: Bachelor’s degree in Business or related field
