Job Type:12 month Contract with possibility for extension Location: Sudbury, ON Business Unit: Hard Rock Reports to: Aftermarket Director Department: Aftermarket About the Role: Are you passionate about supporting factory support work orders and providing administrative services to a global product support team? Do you have experience in administrative support roles, particularly in an industrial setting? If so, we have an exciting opportunity for you! As a Factory Product Support Administrator, you will be responsible for supporting the administration of factory support work orders for all global field service-related activities. You will also provide administrative services to the global product support team, including general reporting, presentation and notice creation, time and attendance maintenance, and purchase order processing. This role involves dynamic day-to-day tasks and requires a high level of multi-tasking, organization, and individual initiative. Key Job Responsibilities + Work Order Management: Create, monitor, and close global factory support work order jobs in SAP, including tiered customer support, new product commissioning, factory upgrades and retrofits, and additional technical support training to ensure support schedule can meet support demand requirements. + Administrative Support: Provide administrative support to the service division, including the Global Product Support Manager, Product Support Leaders, Factory Technical Specialists, etc. This includes meeting and travel preparation, uniform and PPE maintenance, creation of reports, presentations, notices, etc. + Resource Planning: Assist with planning resources by issuing labor confirmation numbers to personnel, maintaining schedules, travel, qualification, and requirements. + Order Processing: Create and correctly code (cost center/account) factory support work orders, notifications, sales orders in SAP, and billing for all factory product support field work carried out by factory product support specialists. Close work orders upon invoicing and ensure the costs are assigned appropriately in a timely manner. + Data Collection and Reporting: Collect, analyze, and report service data, including utilization, job costing, hours of work breakdown, department expenses, etc., to the Global Product Support Manager as required for the factory support division. + Payroll and Purchasing: Submit payroll timesheets and assist the payroll administrator with corrections to labor confirmation numbers in the time and attendance system. Initiate POs via purchase requisitions with the supply chain in a timely and efficient manner; assist the purchasing department to close off POs; ensure correct PO references on paperwork, including work orders. + Process Improvement: Participate in crucial process improvement initiatives, including process maps and documented processes. Run and manage web-based and SAP reports related to service work orders, invoicing, utilization hours, etc. + Training Program Administration: Manage the administration of the technical training program as delivered for sales regions and factory technical staff. + Customer Satisfaction: Build long-term relationships with internal departments, external vendors, and distribution partners as required. Liaise between hard rock departments to ensure business strategies are executed and corrective actions and continuous improvements are actioned. Qualifications/Requirements + Business Administration Diploma or relative experience. + 3-5 years of experience in an administrative support role, with previous experience in an industrial setting considered an asset. + Previous experience with industrial work order processing is a benefit. + Excellent customer service skills with dedication to customer satisfaction; previous customer service experience. + Interest in cost analysis or accounting designation. + Intermediate understanding of financial and purchasing principles. + High level of computer proficiency, including Microsoft Office – Word, Excel, Outlook; ERP system experience; SAP is an asset. + Technical aptitude for electrical and mechanical theory – knowledge of Komatsu Mining machines, parts, and service work is an asset. + High attention to detail to maintain accuracy when dealing with a broad range of information. + Time management skills and the ability to work efficiently to meet deadlines and achieve team goals. + Self-directed with a high level of initiative. + Effective listening and interpersonal skills. + Strong safety focus.
