Specific Accountabilities:

Cost Control Analysis for Area.

Facilitate forecasting and reporting processes for Area.

Review, verify, and submit monthly forecast budgets for Region Project Managers.

As required, assist in the development of business cases for proposed projects.

Perform in-system project administration activities including project initiation, managing approval workflows, updating pertinent dates / team members / narrative information, and project close-out.

Review historical data (invoices, vendor usage, etc.) to identify cost-saving opportunities to meet financial targets.

Perform invoice and purchase order administration as needed.

Prepare letters, PowerPoint presentations, minute/action item recording for departmental meetings, photocopying, courier packages, off-site filing and tracking, catering, ordering office and kitchen supplies; and  other requests from staff/contractors and visitors to the department.

Provide Support in record keeping across Area as outlined in the records management policy

Provide support with expenses, travel booking and management, and department calendars for the manager, vacation/out of office, as well as other staffing reports as required.

Provide support in office equipment and materials orders and complete requests to secure office equipment and access for new personnel; update accounts for existing personnel.

Act as security administrator (create/maintain security/key logs), creation/maintenance of security access cards, to include retrieval of security camera data.

Demonstrate basic competency in various tools including Excel, Oracle Cloud and Workday. Assist in emergency response situations.

Support other duties as assigned.  

Scope/Dimensions:

Provide technical, administrative, financial/budgetary support to Area leadership.

Strong analytical, problem solving and basic decision-making skills

Works independently with immediate access to guidance or supervision.

Demonstrated communication of financial/budgeting information via including email and verbally. 

Demonstrated ability to organize and prioritize basic to moderately complex tasks using approved processes and guidelines.

Contacts (Working Relationships) :

Daily interaction with area staff and leadership.

Regular interaction with Operations, Finance, Accounts Payable, Asset Management, Integrity, Tech Staff and other teams as required.

Who You Are:

You have 1-2 years of directly related experience.

Strong knowledge of related office software; company databases; company structure and standard operating procedures; and/or office communications technology.

Preferred:

Must be able to demonstrate proficiency in Microsoft Office Products such as Word, Excel, Access, PowerPoint or their equivalent.

Possess excellent skills in oral and written communication, problem solving and reasoning as well as interpersonal skills.

Capable of multi-tasking, handling numerous concurrent activities and working within deadlines.

Physical Requirements:

Include but are not limited to: Balancing, bending and stooping, climbing, crawling, carrying ( up to 25 amount of pounds), grasping, kneeling, lifting (objects 25 pounds), pulling hand over hand, pushing, reaching above shoulder, repetitive motion, sitting, standing, walking, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement, grasping, kneeling, light – moderate lifting (objects up to 25 pounds), reaching above shoulder, repetitive motion, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement.

Include but are not limited to: Ability to: understand, remember and apply oral and/or written instructions or other information, understand complex problems and collaborate/explore alternative solutions, organize thoughts and ideas into understandable terminology, organize and prioritize work schedule on a short-term basis, make decisions which have moderate impact on the immediate work unit and monitor impact outside this area, understand and follow basic instructions and guidelines, complete routine forms, compose letters, outlines, memoranda and basic reports and communicate with individuals via telephone.
