The Compliance Assistant is responsible for collecting data that improve center compliance. Works collaboratively assisting the centers’ administrative teams by collecting, completing, tracking and ensuring all necessary forms follow the NY/NYC State requirements. Responsible for the organization and operation of the operations team systems while representing the company and the location positively to the community. Must maintain confidentiality regarding employee information and interact professionally with staff and other agencies.
Essential Functions/ResponsibilitiesDistribute and collect - SCR, CBC and Medical forms to new and current employees.
Set up employees with fingerprint appointment and provide fingerprint codes to current employees for renewal
Collect fingerprint receipts
Submit SCR and CBC through a centralized system
Maintain submissions and provide any additional information
Once clearance is received, send a copy to the appropriate center
Enter into Division database
Set up medical information in CityMD database for employee to obtain NY State Physical
Monitor, and communicate to the centers when employees’ medicals and fingerprints are due to expire
Monitor, and communicate to the centers when employees’ trainings are due to expire
Monitor, communicate and collect from facilities when TCO’s and Lead Water is due to expire
Monitor, communicate and collect data for center license renewal submissions
Monthly will allocate the CityMD charges to the appropriate centers
Monthly will allocate the fingerprint codes given to the appropriate centers
Monthly allocate CPR/MAT charges to the appropriate centers
Deliver CBC for Ed. Director to Borough Office with Money Order
Other duties as assigned
Maintain all related files, data and documentation
Collect, monitor, interpret and communicate process metrics to senior management
Decision MakingReceives general direction and exercises some independent judgement
Job Requirements – Education/ExperienceAssociate Degree - Business or related field - Required
Minimum of 2 year's experience in a similar role - Required
Additional Job RequirementsHigh level of computer proficiency required to manage daily responsibilities which include knowledge of Microsoft Excel, Outlook, TEAMs and data entry
Proven ability to learn and utilize proprietary software
NY State ID (requirement to manage city/state portals)
Ability to work in fast paced and highly dynamic environment and an ability to maintain high level of confidentiality is essential
Strong problem-solving capabilities
Must possess strong interpersonal, as well as verbal and written communications skills
Strong attention to detail
Demonstrated ability to handle multiple tasks
30% Travel Required
Physical Demands:
Must meet state, federal and Bright Horizons’ guidelines regarding immunizations, employment physical requirements, and required health and safety training and practices.
Must maintain mental and physical alertness and an appropriate level of energy to perform essential job requirements.
Ability to perform stationary (seated / standing) office work, including the ability to use and communicate by computerized devices and phones.
Compensation:
The hourly rate for this position is between $25.90-31.67. The pay range listed here is what Bright Horizons in good faith anticipates offering for this job opening. Actual compensation offers within this range will depend on a variety of factors including experience, education and training, certifications, geography, and other relevant business or organizational factors.
