Position Summary:
This position is responsible for providing office assistance to the mobile/mini office by performing clerical, secretarial, and administrative duties to ensure efficient operations.
Nature & Scope:
This position reports to the Mobile/Mini Shop Supervisor depending on the location.Responsible for providing general office assistance to her/his respective location, including answering phones, distributing mail, filing, etc.Ensures time records for all hourly employees are accurate and completed in a timely manner. Once hours are verified, ensures payroll information is transmitted to Chicago office for payroll processing.Prepares all billing repair cards (BRC’s) based on information received from each mini/mobile unit location. Accurate completion of these cards is imperative as the BRC’s provide the basis for preparation of invoices for work performed.Assists with the typing of purchase orders, as required by Mobile/Mini Shop Supervisor, and orders supplies as needed.Prepares multiple monthly reports. Prepares reports and forwards them to Chicago office for use by Controller’s Department.SAFETY IS OUR #1 PRIORITY: Responsible for the safety of his/her areas. Selects, trains, and motivates employees to carry out duties in compliance with current safety rules.Essential Functions:
Provides clerical, administrative, and secretarial assistance to the Mobile/Mini Supervisor to ensure a smoothly run office operation.Prepares BRC’s based on information received from Supervisors to provide an accurate record of car repair for invoicing purposes.Records, checks, and transmits employee hours worked to payroll to ensure accurate processing of the hourly payroll.Prepares various monthly reports as required.Prepares purchase orders, orders materials, and ensures receipt of materials matches purchase orders.Participates in and actively supports Quality projects, activities, and the Responsible Care initiatives to ensure that the company achieves its goal.Meets internal and external customer expectations at all times by fully applying oneself to the task involved, preventing errors, and developing and implementing quality improvement projects. In addition, is required to understand the Responsible Care Management System and actively participates in activities outlined therein.In order to perform the essential functions of the job, you must possess, at a minimum, the following skills and abilities:
Ability to operate basic office equipment such as facsimile machines, copy machines, and personal computers.Be able to communicate effectively with all locations, outside vendors, and subordinates to ensure a clear understanding of required duties and performance.Possess reading, comprehension, and basic mathematical skills required for clerical support functions.Be able to stoop, bend, and stretch to perform filing activities.Education & Experience Required:
This position requires a High School Diploma, or equivalentThe ability to communicate effectively in order to perform daily duties is essential.Strong attention to detail and experience with Microsoft Office programsLegally authorized to work in the USAAbility and availability to work overtime hours, if needed.Adhere to all safety policies within assigned work area and be willing to wear safety equipment such as, but not limited to, safety shoes, safety glasses, etc. with and/or without reasonable accommodations.Possess stamina necessary to perform the essential functions of position within a large plant environment.Have visual and audio acuity to recognize various shop dangers to promote a safe working environment.Why Join Our Team?
