The Finance Administrative Assistant will serve as the point of contact for the Finance/Accounting and Credit departments and will be responsible for providing dedicated clerical and administrative support. This role oversees the administration of multiple corporate business accounts, acts as onboarding coordinator for all departmental new hires, creates and tracks purchase orders, and organizes meetings and department events. This role also assists with various departmental projects necessary to support ongoing business initiatives, as needed, and is instrumental in supporting the Credit department. The candidate will have the ability to communicate with all levels and functions within the organization, including key business group leaders.
*This is not a remote role, the ideal candidate will need to be located in Wisconsin, due to this position being on-site and reporting into our Waukesha Headquarters.*
Essential Duties:
Finance Administrative Responsibilities
Perform Onboarding Coordinator functions for new hires across departmentGenerate purchase orders and track approvals, invoices and payments; facilitate new vendor setup when necessaryAdminister business accounts for Amazon, Staples and Iron MountainAssist with general meeting, meal coordination and event planning for the departmentProvide backup administrative support to President, as neededMaintain department contact list and seating chartSort incoming facility mail, distribute/ process mail for Finance and Credit teams, processes all outgoing department mail Process GL/Vendor and customer check depositsOrder and manage office supplies for departmentAct as liaison between department and IT for hardware/software requests, submitting help desk tickets, and general IT troubleshootingAd hoc projects, as requestedCredit Administration Responsibilities
Manage Credit and Deductions shared email boxes, ensuring timely distribution to correct contactsObtain remittance details and deductions support from key retail and other customersMaintain tracking for credit limit reviewsRun and distribute metrics and other reporting on weekly, monthly, and quarterly cadencesProvide support to Credit & Deductions Engagement CommitteeOther projects or duties as assigned by Credit and/or Deductions ManagerTravel & Expense Responsibilities
Assist the Travel & Expense Administrator with designated tasks and projects including completing expense reports for terminated employeesProvide Tax team with sales tax audit Travel & Expense documentationProvide follow up actions on aged credit card expensesAssist with credit card distribution in-person or via UPSProvide support for monthly tasks including running various Concur reports and providing to the appropriate partyMinimum Qualifications:
High School Diploma or equivalent required2 years of administrative assistant or related office clerical experience in an office environmentPreferred Qualifications:
Associate’s degree or Administrative Assistant program certificate preferredKnowledge, Skills, and Abilities:
