SCOPE\n The Finance Coordinator ensures the professional and smooth operation of the Finance department through assisting the Director of Finance and his team in all the related administrative issues and keeping their diaries. OVERALL OBJECTIVES The job of Finance Coordinator is executed satisfactorily when: The Administrative Assistant coordinates, organizes, and channels all efforts through the Finance department to ensure well-organized communication and full support to the Director of Finance and the rest of the team when necessary and applicable.

Key ResponsibilitiesMAIN RESPONSIBILITIES:\nStrong support to the Director of Finance with all office administration\nDaily organization of all incoming mail, calls and tracing file. \nEnsure that calls are screened and dealt with in an appropriate way.\nProject organization with guidance by the Director of Finance.\nCreate and maintain filing system for the department and help in snagging lists during the pre-opening phase.\nOrganize travel arrangements for the Director of Finance.\nRecord minutes of all meetings and ensure that they are taken at every meeting and circulated for further communication with proper follow up on the implementation. \nSchedule and organize internal meetings when and as required during the monthly schedule. \nLiaise purchasing requirements for the Department with the hotels’ Purchasing Department. \nPrepare presentations and other documents required for the Director of Finance\nEnsure the strict confidentiality of information passing though the office. \nPerform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures.\nUnderstand and strictly adhere to the rules & regulations established in the employee handbook and the hotel’s policy on fire, hygiene, health & safety\nEnsure that all potential and real hazards are reported and rectified immediately.\nAdditional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel. \n

Skills, Knowledge and Expertise\nNATIONALITY: Eligible for a working permit in country of hire.\n
EDUCATION: Bachelor of Commerce.
\nEXPERIENCE: To fill the position, the following is required:Minimum two 2 years in the same role, preferably with a 5* hotel chain.\nLANGUAGE: Ability to work and communicate in a multinational environment:\nLocal language – excellent oral and written skills.\nEnglish – excellent oral and written skills.\nAdditional language – beneficial.\n\nTECHNICAL COMPETENCIES: Computer literacy adapted to the field of Food & Beverage:\nKnowledge of general accounting principles.\nGood math skills.\nKnowledge of computerized accounting software and Excel.\n\nBasic bookkeeping knowledge.\nKnowledge of basic economic and statistics principles.\nKnowledge of financial statements and how the numbers relate.\nDepending on the job there are also specialized areas such as tax laws, employment law, business law and/or cost accounting principles that could be required.\nAbility to operate computer and office equipment.\nProficiency in Excel and Word.\n\nCOMPETENCIES: Competencies needed to fill the position:\nAbility to work as part of a team, thrive under pressure in challenging circumstances and come up with proactive, rational solutions.\nExcellent written and verbal communication skills.\nAbility to establish and retain effective working relationships with hotel staff and clients/vendors.\nAbility to identify and delegate tasks effectively.\nExcellent organizational and time management skills.\nApplies a professional, confidential and ethical approach at all times.\nWorks in a safe, prudent and organized manner.\n\nINDIVIDUAL CHARACTERISTICS: To fill this position the candidate must identify with the Kempinski core values, in addition they should be especially:\nPassionate for Food & Beverage\nPeople Oriented\nPassionate for European luxury\nEntrepreneurial\nStraightforward\nBusiness acumen\nSense of responsibility\nLeader\nTeam player\nAnalytical thinker\nFlexible and reliable\nTolerant and open minded\nWorks well under pressure\n\nOTHER SKILLS: Depending on region and property.
