**Job Description**
The Business Operations Specialist will manage and enhance our accounts payable operations for facilities, Environmental Health and Safety (EHS), and security. This role is pivotal in ensuring efficient financial processes, supporting budget preparation, and maintaining compliance with internal procedures and external regulations.
**Job Duties**
+ Accounts Payable Management:
+ Oversee daily accounts payable functions, including securing purchase orders, processing invoices, and maintaining effective communication with vendors to ensure timely and accurate transactions.
+ Budgeting and Financial Planning:
+ Collaborate with cross-functional teams to prepare annual budgets, quarterly forecasts, and long-term financial plans, ensuring alignment with organizational goals and objectives.
+ Expense Accruals and Reporting:
+ Execute monthly and yearly operations expense accruals, ensuring timely submission of data to the finance department. Conduct thorough variance analysis between actual and budgeted figures, identifying discrepancies and recommending corrective actions to enhance financial performance.
+ Vendor Management:
+ Facilitate the onboarding of new vendors in accordance with Olympus procedures and insurance requirements. Provide support to facilities technicians in procuring goods and services efficiently.
+ Environmental Performance Reporting:
+ Gather and compile data related to energy, water, wastewater, and waste for quarterly Environmental Performance reporting to OT Global EHS for CV and BVDC. Enter this information into the GGX (Green Globe) database within three weeks of each quarter’s close, adhering to Olympus Global Rules (OGR). Proactively follow up with local utilities to obtain invoices and usage data as necessary, ensuring accurate filing in Facilities Management records.
+ Analysis and Project Support:
+ Provide analytical support and insights for special projects as required, contributing to strategic decision-making and operational improvements.
+ Communication and Coordination: Monitor the facilities inbox, efficiently triaging requests and directing them to appropriate team members to ensure timely responses and resolution of inquiries.
**Job Qualifications**
**Required:**
+ Bachelor’s degree required and/or a minimum of 2-4 years of related experience; or an advanced degree without experience; or equivalent/related work experience.
+ A minimum of three (3) years of experience in finance, business administration or related field.
**Preferred:**
+ Proficiency in financial software and Microsoft Office Suite, particularly Excel.
+ Proven experience in accounts payable, financial analysis, or business operations.
+ Strong analytical skills with a keen attention to detail.
+ Excellent communication and interpersonal skills.
+ Proficiency in financial software and Microsoft Office Suite, particularly Excel.
+ Ability to work collaboratively in a fast-paced environment and manage multiple priorities.
