Finance Manager – Procurement Administration - Craig Newmark Graduate School of Journalism at CUNY **POSITION DETAILS** The Craig Newmark Graduate School of Journalism at CUNY, founded in 2006, has become nationally recognized for its innovative programs. The only public graduate journalism school in the northeastern U.S., it prepares students from diverse economic, racial, and cultural backgrounds to produce high-quality journalism. As the profession continues to reinvent itself for the digital age, the Newmark J-School is at the forefront of equipping the next generation of journalists with the reporting, writing, interactive, technological, and entrepreneurial skills they need to find stories and tell them effectively. The school currently offers a Master of Arts in Journalism, a unique bilingual M.A. in Journalism for students fluent in English and Spanish, and the nation's first M.A. in Engagement Journalism. Reporting to the Assistant Dean for Administration and Finance, the Finance Manager will lead the college procurement, contracts, accounts payable operations, and systems. This includes partnership and consultation with legal counsel, government agencies, New York State Controller, and Attorney General, and leads contract negotiations with vendors and suppliers. This position requires working closely with the Assistant Dean to enhance vendor performance and reduce costs while also overseeing the CUNYfirst Enterprise Resource Planning (ERP) system. The CUNYfirst ERP system is a unified platform that integrates student administration, financial management, and human resources operations across 25 colleges. Therefore, the person in this role will be responsible for maintaining and ensuring the optimal functioning of the system, while also identifying opportunities for continuous improvement. Duties include but are not limited to: - Works closely with the Finance team, all Departments, Centers, and Programs, including ACE, Foundation, Graduate Council, and Technology and Library Committee (Tech Fees), to anticipate, identify, meet and manage all-funds procurement, vendor payment and expense reimbursement needs within allocated budgets, and where applicable, under shared services with CUNY Central Vendor Management, Procurement, Accounts Payable and Cash Management Offices; - Oversees and approves all travel authorizations, travel and expense reimbursement reports; conduct end-user department training, and assists end-user departments with requests for Travel & Expense CUNYfirst access; - Manages receipt and vendor payment requests including catering payment requests, manages training and reconciliation process for credit card transactions including use of P-Card or other assigned credit cards to pay for authorized transactions under School and also the Foundation and ensures appropriate support documentation and compliance with established policies, procedures, and agreements; - Manages procurement and vendor payment internal and external audits and risk assessments; - Formulates sound financial strategies and streamline the implementation of established School, Foundation, CUNY, NYS, and NYC procurement and vendor payment policies, procedures, and internal controls including updating the Finance webpage, and recommends and implements improved efficiencies and cost-saving opportunities; - Defines program goals, objectives, risks, and roles and responsibilities. - Attends School and CUNY-wide Procurement and Accounts Payable meetings and serves on School committees; - Supervises procurement staff; - Performs other related duties as assigned. Until further notice, this is a hybrid position, eligible to work remotely and work on-site in the office. **QUALIFICATIONS** Bachelor's Degree and six years' related experience required. A preferred candidate should have: - Experience with PeopleSoft procurement and other finance modules, and computer and web technology. - Experience in higher education. - Strong knowledge of and experience with CUNY, NYS, and NYC procurement, expense reimbursement, and vendor payment policies and procedures. - Strong and effective verbal, written, and interpersonal communication skills and ability to effectively train on established policies and procedures. - Strong organizational skills with the ability to take initiative, problem-solve, manage multiple projects simultaneously, and work collaboratively in a team environment. - Proven organizational skills with acute accuracy and attention to detail; ability to perform under pressure, while managing multiple priorities with competing demands for resources. Candidates must be legally authorized to work in the United States on a full-time basis.
