Scope of Job
To serve as the primary resource on federal, state and institutional regulations for the Financial Aid Office. Responsible for ensuring regulatory compliance with federal, state and institutional student aid programs while providing optimal support to financial aid applicants.
Description of Duties
+ Provides advisory services to Financial Aid Office Leadership team and employees to ensure compliance with regulatory agencies and institutional policies and procedures.
+ Contributes to the development and continuous improvement of financial aid policies and procedures to streamline processes and enhance student satisfaction while keeping the Financial Aid leadership team informed.
+ Keeps abreast of current regulation and understanding of all state, federal and institutional requirements. Reviews and interprets federal and state laws impacting the institution and implements necessary changes as needed.
+ Assesses current practices, controls, and policies to ensure alignment with federal, state and institutional guidelines.
+ Ensures student information system is in compliance and set up to properly administer financial aid functions according to regulatory requirements.
+ Develops, implements, and maintains an effective compliance program to detect, prevent, and resolve issues that fail to meet federal and state financial aid regulations.
+ Audits student files for accuracy and compliance with federal, state and institutional regulations and requirements.
+ Identifies areas of non-compliance and develops appropriate corrective actions to manage and mitigate risk, and improve compliance practices.
+ Serves as the primary contact for federal, state and internal audits and collects and prepares student record data for audit testing and drafts responses to auditors.
+ Collects information, analyses data and completes annual reporting in compliance with federal, state and institutional requirements.
+ Develops, maintains and implements financial aid policies and procedures and keeps consumer information accurate and up to date.
+ Prepare and submit complex reports related to financial aid programs and required documentation for regulatory agencies. Conducts training to Financial Aid and disseminates essential information to stakeholders and university departments as needed.
+ Takes the lead of special projects as needed.
+ Performs other duties as assigned.

General supervision from assigned supervisor.

Direct supervision of assigned staff.
Required Education
Bachelor’s degree from an accredited university.
Preferred Education
Master’s degree from an accredited university.
Licenses/Certifications
None.
Required Experience
Two (2) years of work experience in financial aid administration and/or financial aid compliance.
Preferred Experience
Working experience obtained in a financial aid office in a higher education setting. Experience responding to regulatory issues, and the development and/or interpretation of policies, rules or regulations. Experience identifying and analyzing compliance issues, and experience working with Banner student information system.
Equipment
Use of standard office equipment. Proficiency in MS Microsoft Office products and ability to learn other software programs used in the assigned area.
Working Conditions
Needs to be able to successfully perform all required duties. Work is performed primarily in a general office environment. Some travel and weekend work is required. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.

Exceptional planning and organizational skills. Must have strong interpersonal and communications skills as well as excellent organizational skills and be detail oriented. Ability to multi-task, demonstrate computational ability and respond effectively in a variety of situations and work effectively in team situations. Ability to maintain confidentiality of records and information. Ability to interpret, adapt, and apply guidelines and procedures.
