Job Description

This position will help to manage a $25M annual budget of Aflac donor funds. The role will act somewhat as a funds accountant, following the funds from when they are raised by our Foundation Dept through spending the funds and reporting back. We manage over 100 funds and manage 3 cost centers.

Experience in cost accounting budgeting, finance, business intelligence, decision support, accounting, or strategic planning preferred


Education

Bachelor’s degree in finance, accounting, or related field

Job Responsibilities

Expenses – Non-Salary and Salary

​Prepares, approves, and/or submits check requests and purchase orders for expenses from donor and other cost centers in accordance with approved operating and capital budgets, working with Accounts Payable or Purchasing as necessary to investigate lost or delayed requests.Monitors labor distribution reports and timecards on a biweekly basis to ensure appropriate staff and hours are charged to our cost centers and salaries are being charged to appropriate gift code. Works with managers and others to correct coding of salaries.Works with managers and directors in Human Resources, Payroll, and Finance to review transactions in a timely manner and accurately. Reviews financial postings to ensure coding is correct for salary and non-salary expenses as needed, reclassing expenses when needed.Tracks donor-related donations and expenses to produce reports required by certain donors and leadership. Monitors various expenditures (professional development, supply budgets, etc) throughout the year. Maintains organized records of gifts to ensure that funds are spent in accordance with donor designation and to ensure timely and accurate reporting to donors regarding utilization of gifts.Assists service line employees with donor-funded expense inputs and questions.

Financials

May be involved in developing and maintaining a multi-year spending plan for each of donor and endowment funds, categorizing historic and projected use of funds according to clinical, academic, and research.Plays significant role in development of annual operating and capital budgets, including projections of expenses and development of Excel spreadsheets. May work with the Financial Operations Manager on entry of information into the budget system.Reviews and monitors financials for cost centers and gifts, reports on variances, makes coding corrections and reclasses. Reports periodically and as needed on variances for cost centers and gifts.Reconciles gifts and other data among different sources.

Creates and presents data on annual fundraising progress, expenses, and balances for restricted, unrestricted, cash, and endowment funds. Prepares reports in response to requests from system leaders regarding utilization of donor or other funds, possibly working directly with Clinical Director and/or Manager, Financial Operations to develop format and approach

Foundation

Works closely with service line directors and Foundation leaders to manage new restricted purpose gifts, including determining appropriate fund for deposits.Maintains tracking database for donations, restrictions and expenses, reporting back to Foundation as needed. Creates donation and spending reports as needed.Maintains wish lists for each service line reflecting prioritized funding needs for routine operating expenses, renovation projects, capital items, and other equipment and supplies, revising often to reflect changes in needs and priorities.
