Purpose of role
As a First Impression Assistant, you will be the first point of contact for visitors calling or visiting central London office and a brand ambassador for Williams Lea. The First Impression duties include welcoming clients and visitors to the office, handling switchboard calls, managing meeting rooms, organising and preparing hospitality, delivering hospitality and offering administrative support across the firm. Every task which is undertaken must be delivered with an exceptional customer service approach.
To be successful as a First Impression assistant, you must have strong customer services skills, and with the ability to easily build rapport with people. A key skill will be your ability to proritise urgent tasks in a timely and effective manner. This role requires working in shifts ranging between 7:00 and 18:00 on a 7.5 hour day, so flexibility is required.
This is a hands-on role and will involve working alongside Williams Lea team members to deliver the overall service.
Key responsibilities
Welcoming guests in the office lobby as the main point of contact for any visitor/guest or employee for the organisationEnsuring a seamless and personal guest journeyProcess and confirming meeting room requestsEscorting guests to their booked meeting room within the building, informing the host of the guest’s arrivalOrdering, organising, delivering, clearing and assisting with hospitality and eventsAttending to guests wishes and requirements.Setting up audio visual systems and trouble-shooting problemsPopulating data collection workbooksAnswer the phone and make reservations, take and distribute messages or mail and redirect callsHandling external and internal calls in a professional mannerManage any external catering requirements from third party vendorsContinually monitor reception inbox ensuring e-mails are responded to in a timely mannerBooking of transport for employees and clientsOccasional requirement to support client functions that run into the eveningAlways acting according to the client’s standardsPersonal attributes
Previous experiences in a front of house role or working on a reception desk for a corporate companyOutstanding guest services skills, committed attitude and dedication to creating a memorable guest experienceTeam focusedFluent written and spoken EnglishProfessionally presented.Have great interpersonal skills and an outgoing personality.Experience of email and Microsoft packagesRewards and Benefits
