This vital role plays a key part in ensuring smooth operations, with a strong emphasis on accuracy, organization, and effective communication. Duties and Responsibilities + Establishes and ensures the department follows sound fiscal policies and procedures. + Prepare and oversee fleet operating budget; process employee reimbursement expenses, monitor departmental expenditures. + Process fleet purchase orders and keep accurate record of department spending. + Prepare fiscal year-end reporting and provide accurate budgetary guidance to management. + Ensure equipment funding accounts are validated in the budget and updated in the Faster Asset Management system. + Verify compliance with contract terms and resolve any issues with vendors. + Monitor vendor statements for outstanding invoices. + Complete monthly Fleet Management billing for customer departments. + Manage the Fleet’s petty cash fund. + Maintain Fleet’s fixed asset inventory for the Clerk of Courts. + Manage carwash inventory and create billing work orders. + Enter VISA invoice information into the Bank of America website. + Open requisitions for new equipment and maintain a spreadsheet of orders. + Track and maintain spreadsheets for revenue, cash, reimbursements, vendor lists, fuel totals, and more. + Post auction revenue and complete FFA forms for all surplus assets sent to auction. + Oversees reconciliation of grants, maintains grant agreement, process grants invoices. + Process approximately 200 vendor invoices for payment weekly. + Serve as the main point of contact for Fleet cell phones (ordering, replacing, tracking inventory). + Maintain spreadsheets for phone numbers, computers, laptops, and other IGS inventory. + Provide backup support for Fleet HR functions. + Provide backup support for equipment-related issues and front desk coverage as needed. Education, Experience, Licensing + A combination of education and experience equivalent to a Bachelor's Degree in Accounting, Finance, or a closely related field. + One year of accounting, bookkeeping, or closely related experience. + Possession of a valid driver's license with an acceptable driving record is required. Preferred Qualifications: + Master's in Accounting or Finance. + 3 years of accounting, finance, or bookkeeping. + Accounting software knowledge. Supplemental Information + Strong organizational skills and attention to detail. + Experience in creating clear, accurate, and professional budgetary reports. + Proficiency in Microsoft Office Suite (Excel, Word, etc.) smart sheets and other relevant software tools. + Ability to work independently and manage multiple tasks simultaneously. + Prior experience in fleet management, accounting, or administrative roles is a plus. This is a full-time position, with regular working hours from Monday through Friday, 7:00 AM to 3:30 PM.
