Key Responsibilities:
Purpose of the position:
To effectively manage World Vision’s fleet operations and ensuring administrative support for efficient office operations. This includes overseeing vehicle maintenance, driver management, and coordinating general office administrative activities. Ensure compliance to local and global fleet/admin policies and procedures, set and report on key performance metrics
Major Responsibilities:
Fleet management well coordinated;
Oversee the maintenance, repair and servicing of WV Eswatini vehicles to ensure that they remain in optimal condition. Monitor fuel consumption, vehicle mileage, and related costs to maintain cost efficiencies. Monitor driver behaviour through tracking system and alert management of any policy violations or undesired behaviour for action. Ensure vehicles registration, licensing, and insurance is updated in compliance with regulatory or policy requirements. Maintain uptodate records of fleet activities including schedules, logbooks and other reports. Manage driver schedules, trip planning/transport requisitions, and driver performance ensuring adherence to WV policies and standards. Coordinate vehicle allocation to meet the operational needs of various departments, and assign driver tags as needed. Conduct driving tests for staff before they are assigned driving authority by the National Director. Implement safety protocols and training for drivers/fleet users. Coordinate with tracking system vendor for proper maintenance of driver tags and tracking devices for effective vehicle monitoring. Requesting accident reports when required from tracking system vendor.Monitor incidents involving vehicles and recommend corrective actions.Actively participate in SAR fleet meetings, roll out priority initiatives and ensure cross-learning from other Field offices.Administrative services well coordinated & Facilities well managed;
Support office administrative services management including but not limited to: cleaning services, utilities management, building related services, photocopier/printer, telephone, etc. Focal person for local and international transportation requests, accommodation, housing, communications and hospitality to visitors to ensure smooth operation of WV Eswatini. Assist with logistics and coordination for trainings, workshops held at NO level. Maintain inventory and fixed asset register for tracking and accountability. Update REAM database annually. Update asset registers on timely basis in line with purchases / disposals of assets. Coordinate assets disposal and propose replacement plan. In collaboration with the department head, ensure adequate fixed assets policies and tracking systems are in place. Ensure all administration/fleet related invoices, cost allocation and payments are initiated in a timely manner, including raising requisitions from all fleet and admin related services timely. Ensure effective management of the office building with focus on cost savings and efficient use of resources.People well managed:
Lead the staff under fleet and admin function (provide supervision to National Office driver/s, Receptionist, Office Cleaners), monitor their performance and implement corrective measures as necessary.
Attend daily Devotion.
Any other official duty as assigned by principals.
Qualifications: Education/Knowledge/Technical Skills and Experience
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
Must have a university Bachelor’s degree in administration, such as Logistics or Supply Chain management or related field.Three (3) years’ experience in Logistics, Administration and Fleet ManagementMust have a valid driving license with at least 5 years driving experience.Must have good analytical and report writing skills.High level of integrity and stewardshipComputer skills including experience in Microsoft office suite and automated fleet/administrations systems.Knowledge of local legal requirements related to fleet operations.Basic motor mechanics skill is an added advantage.Excellent communication and interpersonal skillsProblem solving skills with attention to detail.Strong organizing and time management skillsApplicant Types Accepted:
