Fleet Administrator

Job Overview:

The Fleet Administrator II will work in all aspects of fleet including but not limited to requisition, assignment, decommission, title registration, transport, and surplus management. Works with the regional distribution management to ensure vehicles meet all safety technical specifications. Understands the primary use and purpose for each fleet vehicle, and how fleet vehicles relate to the success of the business. Works with 3rd party vendors (i.e. Fleet Management Company) to ensure all vehicles have the appropriate permits and other documentation. Responsible for ensuring the accurate accounting of vehicle locations and coordinating with the Fleet Management Company and other vendors to process location changes when necessary. Assists Fleet Manager in determining appropriate levels of vehicle replacements and identifying vehicles that should be replaced based on current replacement criteria.

Primary Responsibilities:

Manages vehicle inventory through Fleet Management Company and/or internal platformsCoordinates processing annual insurance requirements and ensures complianceAssists in processing state changes, registration, and vehicle permit requirements per local/state Motor Vehicle Bureau requirements and ensures complianceAssists the field with day-to-day operational questions which may include:Purchasing of various vehicle accessories and equipmentRetirement of old vehicles and taking delivery of new vehiclesMatching locations that need vehicles with locations that have surplus inventory and managing the transfer processMaintaining appropriate registration credentialsCoordinating short/long term rentalsAssisting with employee purchase of company vehiclesSupporting mileage reporting and compliance requirementsProcessing of traffic/vehicle violationsResponsible for reporting and maintaining accurate records of all vehicle leases in lease management softwareLeverages fleet management software and other reports to assist the Fleet Manager with regular policy enforcementUses sound judgement, business needs, and a pre-determined set of criteria to approve or deny repair and maintenance requests up to allowed amountsAnalyzing or interpreting information to make recommendations on business operationsActive participation in brainstorming sessions to generate ideas to reduce fleet maintenance and management costsRecommend process improvement and technology/digital opportunities to management related to day-to-day fleet management activities

Qualifications:

Intermediate skill level in Microsoft Excel, PowerPoint, and WordKnowledge of JDE and/or SAP helpful, but not requiredAdaptability to web-based software platformsWorking knowledge of vehicle insurance and documentation requirements

Education and Experience:

High School Diploma required, bachelor’s degree preferredMinimum of 2 years’ experience in fleet administration

Other Considerations:

Must be a self-directed professional and work effectively in a fast-paced demanding environment.Demonstrated strong internal / external networking, interpersonal / communication skillsProven success resolving problems while maintaining focus on the customerFinal job level / salary will commensurate with experience
