What you’ll do as a Fleet Administrator Administrative Support: Maintain comprehensive records of all fleet vehicles, including registration, insurance, maintenance schedules, and inspections. Track vehicle usage, mileage, fuel consumption, and repair costs. Coordinate vehicle inspections, registrations, and renewals. Generate and submit fleet reports to management on vehicle performance, maintenance schedules, and fleet costs. Schedule appointments for routine maintenance, repairs, and inspections. Process and track repair orders, purchase orders, and invoices related to fleet maintenance and parts. Fleet Maintenance Assistance: Assist the mechanic by sourcing and ordering parts and supplies as needed. Ensure mechanics have the necessary tools, parts, and documentation for vehicle repairs and maintenance tasks. Act as a liaison between the fleet department and vendors for parts and services. Support mechanics in maintaining a clean and organized workshop and inventory. Assist in vehicle inspections and document findings for mechanic reference. Vehicle Compliance: Ensure all fleet vehicles meet legal and company compliance standards (e.g., licensing, safety inspections). Maintain up-to-date records of vehicle inspections and repairs for regulatory audits. Coordinate with insurance providers on claims and document accidents or vehicle damage. Operational Efficiency: Monitor fleet telematics and software to track vehicle locations, driver behavior, and efficiency. Help develop preventive maintenance schedules to minimize vehicle downtime. Communicate with drivers regarding vehicle availability, maintenance needs, and assignments. What you'll need To be 18 years of age or older Authorization to work in the United States for this company Valid driver’s license Proven experience in fleet administration, vehicle maintenance, or a similar role. Basic mechanical knowledge is preferred. Proficiency in using fleet management software and Microsoft Office (Excel, Word). Strong organizational and multitasking abilities. Excellent communication skills and the ability to work collaboratively with both administrative and mechanic teams. Attention to detail and ability to work in a fast-paced environment. Physical abilities & exposures Ability to lift up to 50 pounds and perform physical tasks as needed in support of mechanics.
