Job Summary
Support the Cirrus Facilities, Materials Management and Operations team as a single point of contact to manage fleet administration. This role will work with a variety of departments to ensure that we have clear line of site to our fleet assets and overseeing insurance, registration, DOT licensing and maintenance. Role will also create and provide guidelines and resource to departments on maintenance and licensure requirements; partnering with departments to implement and ensure compliance with our company drivers.
This role will also assist departments in sourcing vehicles and tracking vehicle costs and depreciation. They will provide regular reporting on budgeting and expenses and use this information to help decrease costs and improve efficiency while creating a safe environment for our fleet members.
This role will also handle companywide utility processing, setup, payment and tracking along with related data analysis requests. Role will also handle lease payment processing.
Duties and Responsibilities/Essential Functions
Partner with department to understand vehicle needs and support departments purchasing vehicles or disposing of vehicles as needed Develop recommended vehicle standards and work with procurement on securing competitive pricing Work with departments to monitor and schedule regular maintenance on vehicles, Ordering urgent or emergency repairs as needed Assess depreciation on vehicles Maintain asset or lease records to include depreciation, lease cost etc. Track mileage, registration and insurance coverage on all vehicles and provide reporting when needed Partner with treasury and risk management related to insurance coverage and needs Establish PM and service guidelines and training for vehicles Manage vehicle registration Oversee DOT Requirements including UCR, FMCSA, special permits, etc Provide guidelines to departments on ongoing compliance regarding drivers licensure working closely with HR and Safety departments regarding requirements Explore possible fleet monitoring for adherence to schedules and proper driving practices in partnership with departments Proactively monitoring lease expiration and lease life for replacement. Provide reports to management on budgeting, maintenance and fleet progress (cost per vehicle/cost per mile metrics) Develop methods to decrease cost and improve efficiency for fleet expenses Pull, process, pay and track utility expenses (Gas, Water, Electric and Trash) Provide backup for overall facilities invoices and coding. Ensures that all assigned work areas are always kept clean, orderly, and presentable always. Wears proper protective equipment during appropriate job functions Complies with all paperwork that governs job duties. May be assigned to different work areas and locations as needed Performs other duties as assigned or directed by the Department, Supervisor, Director or appropriate designee. Bachelor’s degree or two to four years’ related experience and/or training; or equivalent combination of education and experience. Strong computer skills and ability to learn software programs. Power BI or other equivalent data analytics experience. Familiarity with Samsara GPS tracking and monitoring Familiarity with Asset Essentials or similar CMMS/work order system Experience with utility and lease processing and payment Setting up new utility accounts and price negotiation Experience with common utility reporting and ESG documentation Invoicing and basic accounting experience. Attention to detail is a priority. Multitasking and triage/prioritization skills for time management. Excellent team player with great people and communication skills. Strong customer service skills.
