Fleet Operations Analyst

SUMMARY

This role is crucial for overseeing Fleet Operations within Smart Building. Responsibilities include maintaining up-to-date driver and vehicle information, managing registrations, insurance, and fuel.

PRIMARY RESPONSIBILITIES

Monitor and analyze fleet performance metrics such as fuel consumption, maintenance costs, and vehicle utilization. Generate regular reports for operational leaders to provide insights and recommendations for improvements. Act as the primary point of contact between drivers, the fleet management company and operational leaders. Monitor driver compliance to preventative maintenance programs to reduce the likelihood of vehicle breakdown that could impact revenue recognition. Maintain a central repository of fleet vehicle information to ensure all fleet vehicle drivers have access to updated insurance, maintenance protocols and driver safety tools. Coordinate with the fleet vehicle drivers to ensure regular maintenance visits are performed and within guidance. Track maintenance records and ensure all vehicles are in optimal working condition. Maintain fleet and fuel websites with current driver and vehicle information. Track vehicle registrations/insurance to make certain asset and driver are complying w/state law. Oversee annual purchase orders and conduct monthly reviews of invoices from fleet and fuel programs to ensure accuracy before submitting them for payment. Administer fuel card programs to monitor and control fuel expenses. Actively engage with field team members to gather and share their fleet vehicle requirements, ensuring effective planning and procurement of appropriate vehicles. Arrange for vehicle shipping within the business and coordinate rentals for drivers during repairs or special situations as needed. Remain available on-call to assist drivers with any issues, minimizing disruptions to customer service and work schedules. Organize training sessions to keep drivers informed about best practices and new technologies.

QUALIFICATIONS

High School diploma or equivalent required. College Degree preferred. 2+ years of experience in logistics, transportation, business administration or related field.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES 

Ability to manage multiple tasks simultaneously and maintain detailed records. Strong analytical skills to monitor fleet performance and optimize operations. Excellent communication skills to effectively liaise with drivers, management, and external vendors. Ability to quickly address and resolve issues that arise in fleet operations. Familiarity with fleet management software, GPS tracking systems, and other relevant technologies. Strong interpersonal skills to build relationships and work effectively with a diverse team. High attention to detail to ensure accuracy in reporting and compliance with regulations.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear. The employee must have the ability to operate a personal computer and express or exchange ideas by means of the spoken word. May be required to sit and/or stand for extended periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. May be required to lift or move 10+ pounds.
