Fleet Specialist


Job Description:

As a Fleet specialist , you will ensure compliance with all relevant regulations and maintain accurate records of fleet activities. You will liaise with vendors, including vehicle manufacturers and leasing companies, to ensure smooth operations across EMEA. Your role involves developing processes, implementing training programs, and overseeing the tactical processes of fleet area. Additionally, you will collaborate with various departments to manage car transfers and communicate with suppliers to ensure smooth transition. You will also monitor fleet updates, oversee fuel management, invoice management and generate regular reports on fleet status and performance.

Compliance Management: Ensure that all fleet operations comply with local, state, and federal regulations, including vehicle registrations, inspections.

Record Keeping: Maintain accurate records of all fleet-related activities, including maintenance history, fuel usage, mileage, and expenses.

Vendor Management: Liaise with leasing companies, maintenance providers, and other vendors involved in fleet category

Safety and Risk Management: Develop the processes and work instruction and implement training programs

Inter-departmental Communication: Collaborate with different departments, including Accounts Payable, to follow the invoicing process, correct any discrepancies, and ensure all invoices are accurate and up-to-date. Follow up with vendors for any pending invoices.

Car Transfer Management: Oversee the car transfer process, including transferring vehicles between employees, back to the leasing company, or to the fleet garage, ensuring timely delivery to all stakeholders.

Fleet Updates: Monitor and support fleet updates, vehicle replacements, and the ordering of new cars.

Fuel Management: Oversee fuel usage and ensure efficient fuel management practices.

Report Generation: Stay connected with the management team, providing regular updates and reports on fleet status and performance.

Stakeholder Support: Guide and support internal stakeholders on managing fleet processes and maintaining effective communication with leasing companies and vendors.

Job Requirements:

Good knowledge in ERP, enabling efficient and streamlined operations.Excellent communication skills (verbal and writing).Valuable knowledge as a user in CRM systems.Advanced user of Microsoft Office.Proficiency in English language skills in written & verbal form.Solid administrative management skills that ensure the smooth operation of fleet processes and tasks.Strong detail-orientation and teamwork ability.Firm customer orientation, both in support and service, to meet and exceed stakeholder expectations and ensure satisfaction.Good problem solving skills and ability to think outside the box.
