Foundation Support Specialist

The Foundation Support Specialist reports to the Chartway Promise Foundation (CPF) Marketing and Events Manger and is responsible for assisting and supporting the general business needs of the foundation. The position is also responsible for maintaining the CRM database, ensuring information accuracy, data structure, and report customization. The Foundation Support Specialist ensures all administrative activities are within brand and compliance standards and completed within all specified deadlines and goals. This role is also responsible for managing the data of sponsors, supporters and donors to support and fulfill the mission of the Chartway Promise Foundation. Up to 10% travel required (local and out of state), which may require night and weekend stays. Responsible and Accountable for: + Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf + Maintaining comprehensive and accurate donor/partner records + Maintains donor/partner database including logging and sending receipts for all donations received + Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary + Answering phone calls in a polite and professional manner + Managing CRM with consistent updates, details, records, and interactions. Run reports to analyze trends in giving and to produce year end receipts + Ordering supplies for the foundation office + Providing general support and administrative functions as directed + Working with partner agencies to coordinate joint activities particularly around volunteer recruitment + Assist in event registration using event management platform Knowledge, Skills and Abilities: + Must possess exceptional verbal and written communication skills marked by a high level of professionalism and confidentiality. + Ability to interact closely with all levels of leadership, team members, Board/Volunteers, donors, sponsors, and partners. + Handling the daily administrative functions of the foundation, including answering phone calls, inquiries, and requests for information. + Ability to follow proper measures for receiving, depositing and receipting funds and donations. + Strong computer skills in Microsoft Word, Excel, PowerPoint, Outlook and CRM database systems. + A self-motivated individual who can work independently with a strong initiative and ability to prioritize multiple tasks/special projects within specified deadlines + Strong organization skills and ability to maintain professional work areas + Ability to handle confidential information with discretion + Effectively represents self as an ambassador of the Chartway Promise Foundation to a variety of audiences Education and Experience: + Education: Bachelor’s degree preferred + Experience: 2+ years of administrative experience + Working knowledge of CRM and QuickBooks + Experience in non-profit and/or corporate setting preferred Chartway offers a competitive salary and a comprehensive benefits package.
