Front Desk Coordinator
Description A well-regarded organization in the nonprofit services industry based in Waterbury, Connecticut, is seeking a dynamic and organized Front Desk Coordinator to manage daily reception operations and provide administrative support. Key Responsibilities: + Reception and Client Service: + Serve as the first point of contact for visitors and clients, greeting them warmly and addressing inquiries with professionalism. + Answer and route phone calls promptly, addressing questions or connecting callers to the appropriate staff member. + Scheduling and Coordination: + Manage the organization’s main calendar, including scheduling appointments, meetings, and event coordination. + Monitor and schedule conference room usage for staff and external stakeholders. + Administrative Support: + Maintain and update contact lists, mailing lists, and other essential organizational records. + Assist with document preparation, data entry, and correspondence, ensuring accuracy and timeliness. + Office Management: + Maintain a clean and organized front desk and reception area, making it welcoming for clients and visitors. + Monitor inventory of office supplies and coordinate with vendors to place timely orders. + Nonprofit Collaboration: + Support development and fundraising initiatives by assisting with event planning and volunteer coordination. + Occasionally provide administrative support for grant applications, reports, or donor records. + Other Duties: + Respond to any issues or tasks as needed to help support the organizational mission and goals. Requirements Qualifications and Skills Required: + Education: + High school diploma or equivalent required; an associate degree in business administration or a related field is preferred. + Experience: + At least 1-2 years of experience in a front desk, reception, or administrative role. Experience in the nonprofit sector is a plus. + Technical Skills: + Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) is required. + Familiarity with nonprofit management or donor tracking software (like Blackbaud, Salesforce, or similar) is a plus. + Communication Skills: + Excellent verbal and written communication skills to interact effectively with diverse stakeholders. + Organizational Skills: + Strong multitasking abilities with keen attention to detail and the capacity to prioritize tasks. + Interpersonal Skills: + Friendly, empathetic, and professional demeanor with a commitment to creating positive experiences for all clients and stakeholders. + Mission-Driven: + Genuine interest in and commitment to the mission and values of a nonprofit organization.
