Job Summary:
Robert Half is seeking a dynamic and organized Front Desk Coordinator to support the operations of a thriving construction company. As the first point of contact, you will ensure a welcoming environment for clients, vendors, and employees while managing administrative tasks to keep the office running smoothly. This role is perfect for someone who excels at multitasking, communication, and working in a fast-paced industry environment.
Key Responsibilities:
+ Reception & Customer Interaction:
+ Greet and assist visitors, contractors, and employees in a friendly and professional manner.
+ Answer and direct phone calls, providing accurate information and excellent customer service.
+ Maintain a visitor log and ensure security protocols are followed for all guests.
+ Administrative Support:
+ Manage incoming and outgoing mail, packages, and deliveries.
+ Prepare and distribute memos, correspondence, and meeting agendas.
+ Support the team with data entry, filing, and document preparation.
+ Office Coordination:
+ Ensure the front desk and office areas are clean, organized, and stocked with supplies.
+ Coordinate meeting room schedules and assist with set-up for meetings or presentations.
+ Act as a liaison with facilities management for maintenance or supply needs.
+ Operational Support:
+ Assist with maintaining project and vendor records, ensuring accuracy and organization.
+ Provide support for construction project teams, such as scheduling and tracking progress reports.
+ Uphold confidentiality when handling sensitive company and client information.
Requirements
Requirements:
+ Previous experience as a front desk coordinator, receptionist, or administrative assistant.
+ Strong interpersonal and communication skills to interact with clients, vendors, and staff.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
+ Excellent organizational skills and the ability to multitask in a fast-paced environment.
+ Familiarity with the construction industry or related fields (preferred but not required).
+ High level of professionalism and discretion when handling sensitive information.
