Position Summary:
The Front Desk Coordinator is proactive customer service; accept referrals; schedule appointments; evaluate information; maintain confidentiality; read, interpret, and apply regulations, policies, and procedures; explain insurance verification; work with minimal supervision and with extensive detail; work cooperatively with others; use various computer applications; and organize work and set priorities to meet deadlines.
Job Responsibilities:
Greets everyone walking through the door at the Clinic.
Obtains or gives accurate information; explains policies and procedures to inform customers of correct processes; transfers calls and takes messages; and assists customers in completing forms and documents. Exhibits excellent customer service to patients, coworkers, physicians, insurance companies, and everyone you meet as a representative of Brooks Rehabilitation. Manages the Clinics Appointment Schedule Call patients if cannot be moved and therapist is sick Manage wait list, fit in patients if cancellations/ notify CIU if eval spot opens w/in 24 hours Make therapist schedule changes in the scheduling system Call no shows within 10 min-15 min Call to confirm new evals the day before Prepare registration packets for the initial visit Confirm all paperwork and verification info is in image now Confirm valid MD order present prior to scheduling return visits. Pre-register all walk-ins, telephone and fax referrals received by Clinic Notify the CIU via HOTLINE as soon as possible when an urgent verification is required Do not alter the insurance information once verified Notify your clinic CIU rep and/or CIU supervisor if any questions arise regarding insurance verifications Order supplies, maintains inventory control, and appropriately stocks clinic Perform light cleaning duties such as wiping walls, counters, tiding up the waiting room, etc. Files information alphabetically, numerically, and chronologically according to office procedure to maintain organized and accurate filing systems; locates and retrieves files from computerized systems to provide requested information; purges old files according to established procedures; updates and corrects file information to maintain accurate files Registers former patients for Independent Exercise program as requested, collects payments and tracks payments. Provides general office support such as filing, copying, and faxing. Creates new medical record projects in the Image Now system upon admission by obtaining all necessary admission forms, insurance information and orders. Generates required daily, weekly, and monthly reports as indicated by management. Serves as the clinic liaison with the Business Office regarding billing issues with active accounts. Prepares and stores accurate end of day summaries and deposit information. Collects patient responsibility payments, provides receipts, prepares revenues for deposit, makes bank deposits according to Policy and closes out/balances day in cash drawer. Checks and responds to work related voicemail and email timely. Logs all referrals and tracking in the Referral Database Work the Image now queues (error/in & out-bound fax/tasks/referral hold) Work inbound faxes to referral hold or MD signatures task Assists with Patient Insurance Reverifications in January and July as assigned Adheres to policies and procedures. Promotes a positive image of the Brooks Rehabilitation to outside agencies and the public. Participates in performance improvement activities as needed. Exhibits values of the organization. Other duties as assigned by Manager.Job Qualifications:
High school diploma or GED. A minimum of two years of experience working with customers in the medical, service or hospitality industries. Basic understanding of insurance.
