Position Summary: 

We are seeking a highly organized, detail-oriented, and proactive Front Desk Supervisor to join our team. This position will report directly to the Regional Director while supporting managers in a collaborative, non-supervisory role. The Front Desk Supervisor will support four locations to ensure smooth operations across the front desk. The Front Desk Supervisor will play a pivotal role in patient interactions, including overseeing claim submission, follow-up, scheduling, collections, and supporting the treatment planning process, including orthodontics. This is a cross-functional position, designed to help elevate patient experience and operational efficiency. 

Key Responsibilities: 

Claim Submission & Follow-Up: Assist in the accurate submission of insurance claims for all locations. Follow up on unpaid claims and resolve any discrepancies in a timely manner. Collaborate with the managers to ensure claims are properly tracked and documented. Ensure all claims are submitted according to insurance guidelines and procedures. Scheduling & Patient Coordination: Supervise and assist with the daily scheduling of appointments across multiple locations, ensuring optimal patient flow. Coordinate with patients and staff to resolve scheduling conflicts or issues. Oversee the booking of patient appointments for treatments, consultations, and follow-ups. Help train and mentor front desk staff in efficient scheduling practices. Collections & Billing: Monitor outstanding patient balances and ensure timely collections. Work with the regional team and managers to resolve billing issues and discrepancies. Assist patients in understanding their insurance coverage, deductibles, and payment responsibilities. Ensure that all financial transactions are documented accurately and in accordance with company policies. Cross-Training in Treatment Planning (Including Hospital Cases & Orthodontics): Gain knowledge and proficiency in treatment planning procedures, including orthodontics and cases performed under anesthesia at a local hospital. Assist in reviewing patient treatment plans, ensuring correct details are entered into the system. Provide administrative support to the treatment planning team, helping with communication and scheduling of treatment appointments. Work closely with the orthodontic team to ensure the efficient handling of orthodontic patient workflows. Team Leadership & Support: Lead and mentor the front desk team across all locations, ensuring consistent and high-quality service delivery. Assist managers in training new front desk staff, ensuring all team members adhere to company policies and procedures. Act as a resource for resolving any front desk-related concerns or challenges. Foster a positive, collaborative environment between the front desk staff and other departments. General Administrative Duties: Maintain accurate and up-to-date patient records. Assist with reporting and data entry as needed. Handle patient inquiries, complaints, and concerns in a professional manner. Provide ongoing feedback to the Regional Director about operations and potential areas for improvement. 

 

Pay approximately around $50,000 per year
