What this job involves

The Front of House Specialist reports into the Lead Receptionist and is responsible for managing the front desk; providing support to ensure facilities services are provided in an effective and efficient manner. As front of house support the Front of House specialist must also demonstrate a high level of security awareness at all times and have knowledge of emergency evacuation procedures and Health & Safety.

Role

Provide superior customer service to meet on-site client’s expectationsMeet & greet all those entering the building in a warm, professional and polite mannerAnswer main incoming phone line and direct calls internally where possibleCourier / Post & Logistic requirementsMaintain confidentiality of all appropriate communications and documentationMeeting room preparation / set ups as requiredAccess / Badge management as requiredGeneral office duties and other tasks as assigned by Line Manager.Weekly/daily space planning as requiredDaily correspondence by email or ticketing system and reactive to facilities queries/service requestsEnsure premises are always neat and in good working condition i.e. site walk around and escalation if required.Provide support for regular reporting packagesFacilities Coordinator support as/when requiredEnsure required metrics are tracked on appointed systemsAssist in the implementation of Industry Best Practice operationsConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesComplete additional projects, work, administration, reports as requested by the Facilities Manager.Ensure all relevant records are kept up to date in relevant locationsEnsure reception area and office meet expected and professional standardsProvide world class service and ‘first contact’ experience to all client employee’s coming to the office.Provide advice & support on building information and local amenities for visiting employee’s.Follow established escalation procedures and incident reporting proceduresAdhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategiesSupport the needed quality management program for the specific site (give input to playbooks - procedures)Achieve Key Performance Indicators and Service Level Agreement targetsAssist in all needed reporting (client and JLL internal)
 

Required Skills

Confident communicator with well-developed interpersonal skills.Is a people person – enjoys interacting with people regularlyProficient in a range of information technology tools and platforms specifically MS Office applications.Attention to detail with impeccable planning, time keeping and organizational skills.Professional and polished appearance and manner.Enjoy multi-tasking at a fast pace with the ability to managing shifting daily priorities.Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills.Prior experience as a receptionist or in related field.Consistent, professional dress and manner.Excellent written and verbal communication skills.Competency in Microsoft applications including Word, Excel, and Outlook.Good time management skills.Experience with administrative procedures.Able to contribute positively as part of a team, helping out with various tasks as required.
