key responsibilities

• Receive all residents at the walk-up window promptly. Respond to residents' requests, take payments (issue receipts when necessary), and distribute zoning forms, applications, and permits once issued. 

• Answer phone promptly.  Retrieve phone messages and respond promptly. Track conversations. Follow-up as needed.• Issue, document, and renew brush cards.

• Place ads as directed and post news and events as directed in appropriate places 

• Place bidding ads in newspaper, organize  and file paperwork

• Maintain Workman’s Compensation records, follow up, and file appropriately

• Real estate Registration of Property maintenance

• New Business/Mercantile – Privilege Tax: Tax mail forms, track returns, follow-up

• Highway Occupancy Permits – fill out and collect, get appropriate signature hand over to AR for invoicing

• Maintain Baseball Lease Agreements

• Track Meeting and pavilion reservations – make sure the meeting room door is unlocked for off-hours events

• Compose letters as directed, mail, file forms, petty cash reconciliation

• Process incoming mail, date stamp received, and distribute to appropriate departments

• Read and analyze incoming e-mails, memos, letters, and reports to determine their significance and distribute accordingly

• Create and maintain existing filing systems, both electronic and physical 

•All other duties as assigned

qualifications

• Excellent skills in communication and collaboration.  

• Must have patience, good listening skills, and the ability to deal courteously and effectively with the Public daily.

• Good writing and proofreading skills.  Their e-mails and documents and social media posts reflect upon their employers, so they need to know how to write professionally, using proper spelling and grammar. 

• Strong organizational skills to ensure deadlines and appointments are not missed.

• Multi-tasking and the ability to prioritize & pivot and set aside a task and come back to it when necessary.

• HS diploma or equivalent required. Formal post-HS training or an associate's degree in a related field is preferred, but not required. Minimum of 2 years of related experience.

• Computer skills including typing, familiarity with Microsoft Word and Excel, as well as office equipment knowledge.
