Front Office Coordinator
Location: Suntree Medical AssociatesPosition: Front Office Coordinator
The Front Office Coordinator oversees the administrative duties of the clinic.  He/She is responsible for moving the patients through the intake and checkout process.  The Front Office Coordinator must ensure that all procedures, from pulling the correct patient files to charting insurance information, are closely followed so that the medical team can concentrate on the well-being of the patients.  The Front Office Coordinator must interact smoothly with the back-office personnel as well.Specific Job DutiesGreet patients and visitors in a courteous and friendly mannerHandle incoming callsArrange appointments and referralsPrepare new records and maintains records accurately and safelyType correspondence, reports, memos, and forms as requested by physician and practice managerSome transcription or entering of medical notes/information Ensure the safe and honest handling of all money received at clinicPrepare billing packets of each day for billing companyPerform insurance verificationTake clear and concise phone messagesSchedule and confirm appointments dailyCollect copays, deductibles, and inquire about previous balances that the patient may havePrepare chart for the next dayCreate new patient packets and charts and/or entry into Electronic Health RecordsMaintain inventory and submit officer supply order to appropriate administrative personnelKeep front area neat and tidy at all timesCopy medical information as requested following proper proceduresDistribute mail and handle routine correspondenceDistribute incoming reports and correspondence to physician or place in files or patients’ charts Cross train to perform back-office duties when neededSkills/Qualifications:Supply Management, Verbal Communication, Infection Control, Creating a Safe and Effective Environment, Organization, Scheduling, Professionalism, Customer Focus, Confidentiality, Bedside Manner, Medical TeamworkH.S. Graduate (Bachelor preferred)Previous medial office experience preferred with some managerial backgroundAbility to comprehend established office routines and policiesAbility to keep financial records and perform mathematical computationsKnowledge of medical terminologyUnderstand HIPAA and OSHA regulations and privacy practicesGood organizational skills and multi-tasked abilitiesComputer skillsMust be able to learn quickly from oral or written instructionsMust be dependable Personal Qualifications:Able to work under pressureAbility to communicate well with people in person and on the phoneCan be trusted with confidential information Can be trusted with handling moneyMust have a neat and friendly appearanceOther Duties:Any other duties relating to the business operation of the medical practice that may be assigned by the physician or office managerDaily supervisor of all employees and other staff rotating through the officeTraining of all new employees in regards to daily office operationsAssist in job interviews and evaluations of prospective employees and rotating externsAssist in annual evaluation of employee performance including recommendations to practice administrationOther duties as determined by the needs of the physician or practice managerSupervisory Relationship:Reports to physician, practice manager, or any administrative staff of greater authorityPlease note this position is posted on behalf of our partner practices.
